The Marketing Secretary is responsible for the secretarial duties within the Marketing Department.

 

 

DUTIES AND RESPONSIBILITIES

Responsibilities and duties for this position shall include, but not limited to the following areas and activities. At the Management’s discretion, direction may be given for tasks outside the scope of work described.

  • Carry out various tasks as assigned by the Chief Sales & Marketing Officer, Head of Sales, or Sales Executive.
  • Coordinate mailings for Stop sales, Tactical offers, Communique, and similar notices.
  • Keep the mailing database current and up-to-date.
  • Regularly update all check-lists based on sent contracts.
  • Maintain and enhance filing systems, both electronic and paper-based.
  • Maintain regular communication with Regional Sales offices to ensure the availability of promotional materials (brochures, giveaways, etc.).
  • Monitor material stocks (brochures, flyers, etc.) and manage dispatching while maintaining accurate records for control purposes.
  • Record information in the Opera Cloud database.
  • Ensure that the office is well furnished with stationery and promotional materials (brochures etc).
  • Coordinate flight arrangements for the Head of Sales for their respective business trips.
  • Prepare vouchers for Eductours/sponsorship.
  • Gathering relevant resources information from hotels as requested.
  • Sending of Stats (monthly basis) & check-list (each 2 weeks) to all our offices and representatives offices abroad.
  • Perform these and other duties as required.

JOB REQUIREMENTS

  • Qualification: The minimum education requirement for the position is a Higher School Certificate. A Degree in marketing, communication, administration or a related field is a plus.
  • Minimum of 1 year or above experience in business administration and marketing related field.
  • Communicate effectively in oral and written form (English and French).
  • Maintain high level of organisation.
  • Be detail oriented.
  • Handle multiple tasks/projects at one time.
  • Prioritize tasks based on importance or time urgencies.
  • Meet deadlines.
  • Establish and maintain effective working relationships as required by job responsibility.
  • Listen effectively, assesses the situation, determine relevant issues, & suggest solutions.
  • Strong knowledge of Microsoft Office applications (PowerPoint, Word and Excel).
