The HR Administrative Assistant is responsible for providing any secretarial and clerical support to the HR Team.

 

DUTIES AND RESPONSIBILITIES:

Responsibilities and duties for this position shall include, but not be limited to the following areas and activities. At management discretion, direction may be given for tasks outside the scope of work described below.

  • To prepare all working documents related to administration of the HR Department
  • Organise filing and organising system for easy retrieval of all files in accordance with our standards and external audit requirements
  • Responsible for coordination & follow-up of back area (Ref Changing Room / Canteen facilities etc)
  • Welcome, inform and guide all employees
  • Dual reporting line to L&D Executive and the HRM
  • Assist people in their application
  • Prepare final statements and documents for leavers (OPS - AHOD)
  • Assist in the New-Hire induction process as required
  • Track end of probation dates, performance appraisal due dates, warnings and sick leave, A/L & PH. Advise HODs accordingly if required
  • Update & maintain Absence tracking for the Hotel
  • Assist HR Coordinator in the advertisement of HR events through emails, posters, flyers, etc
  • Distribute & monitor locker use, conduct locker audits 2x per year
  • Prepare overtime requests for signature by HRD
  • Assist in on boarding of casual staff.
  • Assist Human Resources & Welfare in any staff events
  • Update & maintain HR notice boards
  • Ensure the Human Resources office is always nice & neat
  • Perform any other duties as assigned by the Management
