The Event Assistant supports the Events team in the daily management of events by providing operational, administrative, and logistical support.

 

Duties and Responsibiltites:

ü  Collaborate with team members across various departments to ensure seamless operations.

ü  Foster a positive and productive work environment.

ü  Understand client needs and ensure their satisfaction.

ü  Act as a point of contact for client inquiries and feedback.

ü  Help collect post-event feedback and produce simple internal reports for tracking purposes.

ü  Gather and organize documents and feedback for analysis and continuous improvement.

ü  Support the team during planning and project follow-up meetings.

ü  Ensure clear communication between all stakeholders (internal teams, vendors, clients).

ü  Handle administrative tasks related to event logistics: bookings, resource planning, and document management.

ü  Issue purchase orders (POs) for vendors and service providers.

ü  Follow up on purchase requests (PRs) to stay within budget and ensure timely verification and processing of invoices.

ü  Work closely with the finance team to ensure smooth administrative and financial processes.

ü  Work closely with clients to understand their event requirements, objectives, and budget.

ü  Create event proposals including venue selection, catering, decorations, and entertainment.

ü  Contribute to the creation or distribution of communication materials (briefings, technical sheets, posters).

ü  Assist in communication and promotion via social media or other channels when necessary.

ü  Ensure everything runs smoothly.

ü  Assist with setup and logistical supervision during events.

ü  Provide direct support during operations on the event day or during preparatory phases.

ü  Review and revise guests’ comments on TripAdvisor as well as other social media platforms.

ü  Ensure the Pro-forma Invoice, Function Sheet, monitoring of Booking Calendar, and aligning site visits and liaise with the Operation team to deliver the best of Event.

ü  Any other cognate duties related to your work as may be requested by the Superiors or the Management
