As an Administrative Secretary, you will play a key role in supporting our management and operations teams by handling essential administrative tasks, managing communications, and keeping our office organized. You’ll be the go-to person for ensuring smooth internal processes and reliable documentation.

πŸ—‚οΈ Key Responsibilities

πŸ“‹ Administrative & Office Support

  • Manage and maintain schedules, appointments, and travel arrangements for senior staff

  • Prepare, format, and manage business correspondence and documentation

  • Organize and maintain both digital and physical filing systems

  • Handle incoming calls, emails, and office communications professionally

  • Take minutes during meetings and prepare follow-up action points

  • Support the management team with general administrative and clerical duties

πŸ’° Accounting & Financial Coordination

Collaborate with the accounting department for the following:

  1. Follow up payment of declaration/insurance of all company vehicles and other payments related to the company

  2. Record employee attendance for salary

  3. Reconcile and follow up of SOA from different suppliers and payments on Internet Banking

  4. Processing of documents on QuickBooks software

πŸ”— Coordination & Logistics

  • Assist with procurement processes, inventory, and office supplies management

  • Coordinate with internal teams and external service providers as needed

πŸ› οΈ Experience & Skills

  • Proven experience as an administrative secretary, executive assistant, accounting clerk, or in a similar administrative role

  • Proficient in MS Office Suite (Word, Excel, Outlook, PowerPoint) & QuickBooks

  • Excellent written and verbal communication skills

  • Strong organizational and time management skills with attention to detail

  • Discreet, trustworthy, and capable of handling confidential information

  • Flexible, proactive, and able to multitask under pressure

  • Diploma or degree in administration, secretarial studies, or a related field is a plus
