ERG Africa invites suitably qualified and experienced candidates to apply for the position of HR Shared Services Administrator. The successful candidate will be based at our offices in Ebene, Mauritius.

 

The HR Shared Services Consultant is a hands-on representative of the Human Resources department whose job is to help facilitate all Human Resources administration, payroll and rewards processes.
Assist both current and potential employees & expatriates and by utilising your understanding of payroll, compensation, employee relationships, ethics, staffing management and much more. Running all rewards and remuneration processes for the Africa business.

Minimum Requirements

• Graduate in Human Resources management or related.
• Qualification and registration as Rewards Practitioner
(South African GRP through SARA or equivalent)
• Experience as an HR Co-ordinator or relevant human resources/administrative position.
• Above average computer literacy (MS Project/ MS Excel/ MS Word/ PowerPoint.
• Experience with HR databases and HRIS systems.
• Payroll Administration and payroll systems software expertise.
• Expatriate administrative support.
• Experience with job grading, reward and remuneration practices.
• Employee relations experience.
• Professional accreditation with board of personnel practice and / or rewards association.
• Strong payroll background with sound understanding of payroll practice and expatriate pay.

Duties & Responsibilities

• Respond to internal and external HR related inquiries or requests and provide assistance promptly.
• Redirect HR related calls or distribute correspondence to the appropriate team member.
• Maintain records of personnel-related data (payroll, personal information, leave, turnover rates, etc.) on both paper and the database and ensure all employment requirements are met.
• Support the recruitment/hiring process by coordinating the interviewing processes and communication of candidates and line management.
• Schedule meetings, interviews, HR events etc. and maintain the team’s agenda.
• Produce and submit reports on general HR metrics.
• Assist in ad-hoc HR projects, such as collection of employee feedback.
• Process invoices for Human Resources.
• Assist managers and employees in understanding and applying people tools, policies and procedures.
• Prepare employment contracts/amend contracts, reference letters, termination letters.
• Ensure mandatory documents are provided by new joiners.
• Ensure HR systems are updated with new hires, leavers and role/position changes.
• Responsible for remote orientation, on-boarding and off-boarding of all employees.
• Registration/de-registration of new staff members and leavers on benefits.
• Monthly payroll activities (inputs, changes, funding, providing information to payroll accounting team).
• Ensure data integrity between payroll and HR system, regular checks and reconciliation to ensure data accuracy and completeness.
• Run and manage end to end payroll for designated countries under company’s regional footprint.
• Documentation of payroll functions for audit purposes, in accordance with statutory requirements.
• Administer various human resource plans and procedures for all organisation personnel, assist in the development and implementation of personnel policies and procedures, prepares and maintains the employee handbook and the policies and procedures manual.
• Participates in developing department goals, objectives and systems.
• Accountable for effective administration and maintenance of the remuneration and rewards processes from job profiling, job grading, and salary benchmarks as well as short and long term incentives – for all entities.
• Accountable for annual increase and discretionary bonus administration (all entities).
• Perform benefits administration, including claims resolution, change reporting, approving invoices for payment and communicating benefits information to employees.
• Management of effective HRIS roll-out and future HRIS projects.
• Collating and administration of ad hoc work permit applications for entities in various countries
• Maintain and coordinate third party medicals for expat staff as well as administration of the relevant service providers.
• Employee leave management.
• Attending service provider statutory meetings remotely as and when required.
• Sign off of relevant payrolls. Weekly and monthly HR reporting.
• Handle all the annual statutory reporting and payments processes.
• Participate in administrative staff meetings and attend other meetings and seminars.
• Assist in the evaluation of reports, decisions and results of department in relation to established goals. Recommends new approaches, policies and procedures to continually improve efficiency of the department and services performed.
• Assist in ad hoc human resources projects.
• Accountable for the day to day operational employee/management.
• Maintain confidentiality of data and departmental security at all times.
• Undertake other duties which it is reasonable to do so.
• Ensure compliance to all policies, procedures, standard operating procedures and safe working practices, with recommendations for action and continuous improvement.
