Administrative Officer who will be responsible for overseeing daily administrative operations of the clinic, ensuring accurate processing of payroll and attendance, and supporting staff welfare initiatives.
1. Payroll & Attendance Management
- Maintain and process employee attendance records, including clock-in/out verification.
- Process and verify monthly payroll data in coordination with HRM/Accounting dept
- Handle corrections and adjustments related to timekeeping or payroll errors
2. Staff Welfare & Administration
- Assist in organizing all welfare activities thus ensuring a positive work culture.
- Coordinate weekly medical check-ups and maintain health-related records.
- Assist in managing staff uniform distribution, fitting, and replenishment.
3. Quality & Patient Experience
- Administer in-room patient surveys on clinical services, report and analyze feedback
- Record, monitor, and follow up on patient complaints, ensuring timely resolution.
- Report critical issues and complaints directly to the General Manager, ensuring awareness and action
4. Quality Circle Participation
- Understand and apply Quality Circle principles to promote problem-solving and continuous improvement.
- Actively participate in quality meetings and workshops, contributing administrative insights.
Skills & Qualifications
- Diploma in Business Administration, Healthcare Management, or related field.
- Minimum 2-3 years of experience in an administrative role.
- High attention to detail and strong organizational skills are a must.
- Proficient in Microsoft Office, especially Excel (pivot tables, charts, data analysis).
- Knowledge of HRPTA
- Excellent interpersonal and communication skills.
- Ability to handle sensitive information with confidentiality and discretion.
- Self-motivated, proactive, and a team player.
- Capable of working under pressure, prioritizing tasks, and meeting deadlines.
