The purpose of the role is to ensure consultants can focus on client acquisition and property transactions. The Commercial Assistant contributes directly to the smooth execution of real estate deals and enhances the overall client experience.

 

Duties & Responsibilities:

  • Managing the CRM system (Apimo): keeping client and mandate information up to date, and collaborating with the marketing team.
  • Updating VEFA (off-plan sale) project files on the shared Drive.
  • Submitting client declarations to property developers.
  • Publishing property listings from Apimo to platforms such as Lexpress Property, Property Cloud or any other relevant platform, as well as on the Barnes websites.
  • Managing listing boosts on Lexpress Property, Property Cloud, or any other platform.
  • Handling inter-BU transactions on the MyBarnes intranet.
  • Maintaining the commission tracking table and submitting weekly updates to the accounting department.
  • Preparing invoice requests for all lease and sale contracts.
  • Collaborating with the Accounting & Compliance Team.
  • Managing leads, their assignment and consultant scheduling.
  • Assisting consultants with all local and international sales processes (KYC, EDB Formalities)
  • Assisting consultants in the preparation of long-term lease agreements.
  • Managing the key box (for rental and sale properties) and the property dispatch register.
  • Overseeing the day-to-day office operations (Supplies, maintenance service providers, etc)
  • Other cognate duties which the employee may be requested to perform from time to time by her direct reporting line.

 

Qualification & Experience:

  • HSC/Diploma/Degree in Business Administration, Marketing, Real Estate or a related field
  • 1 - 2 years of experience in administrative, commercial, or sales support role

 

Knowledge and Technical Competencies:

  • Proficiency in MS Office (Word, Excel, Outlook, Powerpoint)
  • Familiarity with CRM systems and real estate software (E.g., Proptech tools, listing platforms)
  • Basic knowledge of real estate documentation and sales processes
  • Strong communication and interpersonal skills
  • Abitility to work under pressure and meet deadlines

 

Behavioral Competencies:

  • Discretion and professionalism in handling sensitive information
