The Assistant Reservation Manager supports the Reservation Manager in overseeing the daily operations of the Reservations department.

 

Job Purpose

The Assistant Reservation Manager supports the Reservation Manager in overseeing the daily operations of the Reservations department. The role ensures accurate, efficient, and revenue driven handling of all reservations while delivering a high level of service in line with the resort’s luxury standards. The position is designed for a high-potential professional ready to progress into a Reservation Manager role within one year. 

 

Key Responsibilities

Reservations Operations

  • Assist in managing the day-to-day operations of the Reservations department.
  • Ensure all reservation enquiries (FIT, groups, wholesalers, and corporate) are handled accurately and efficiently.
  • Monitor booking patterns, pick-up, and availability to support optimal occupancy and revenue.
  • Ensure correct application of rates, packages, contracts, and cancellation policies. Revenue & Yield Support
  • Work closely with the Revenue Management team to support pricing, inventory control, and yield strategies.
  • Monitor rate integrity across all channels and report discrepancies.
  • Assist in forecasting, reporting, and analysis of reservation data. Team Supervision & Training
  • Supervise and support the Reservations team in the absence of the Reservation Manager.
  • Assist in training, coaching, and developing team members to ensure service excellence and accuracy.
  • Ensure standard operating procedures (SOPs) are followed consistently. Guest & Trade Relations
  • Handle complex reservation cases, amendments, and escalated issues professionally.
  • Liaise with Sales, Front Office, and other departments to ensure seamless guest experiences.
  • Maintain strong communication with travel agents, tour operators, DMCs, and wholesalers.

 

Systems & Administration

  • Ensure accurate data entry and maintenance of reservations in the PMS and CRS systems.
  • Prepare and distribute daily, weekly, and monthly reservation reports as required.
  • Support system audits and ensure compliance with internal controls and brand standards.

 

Candidate Profile

Qualifications & Experience

  • Minimum 5 years’ experience in hotel Reservations, preferably within a luxury hotel or resort environment.
  • Strong understanding of reservation systems (PMS, CRS, channel managers).
  • Proven ability to handle FIT, group, and wholesale business.
  • Demonstrated readiness and ambition to step into a Reservation Manager role within one year.

 

Skills & Competencies

  • Strong organizational and analytical skills.
  • Excellent communication and interpersonal abilities.
  • High level of accuracy and attention to detail.
  • Ability to multitask and perform under pressure.
  • Proficiency in Microsoft Office; Excel skills are an advantage.
  • Fluency in English; additional languages are an asset.
