We are seeking a proactive Warehouse Coordinator to oversee warehouse operations, including inventory control, staff supervision, and logistics. The ideal candidate is organized, detail-oriented, and able to ensure efficient and accurate order fulfilment in a dynamic environment.
Order Processing & Inventory Management
Prepares orders by processing requests and supply orders upon receipt of mail.
Maintains inventory controls by regularly conducting stock inventory and tallying with OpenBravo.
Conducts physical inventories for department supplies to verify stock.
Stores products by designating storage areas, adjusting storage areas according to production and shipping requirements, and updating the location database.
Issues appropriate documents for receipt and delivery of items.
Verify if all delivery notes and warehouse receipts correspond with the volume report.
Complete volume follow-up of all commercial clients for invoicing purposes.
Warehouse Operations & Equipment
Ensures warehouse equipment is in good condition and informs management of any issues.
Monitors warehouse functions in conjunction with the administration department to ensure efficient work planning and operations.
Ensures all staff working in the warehouse wear their safety equipment.
Monitors departmental budget (e.g., mail, storage invoices, and warehouse department expenditures) to ensure accurate allocation of expenses and asset tracking.
Monitors and checks delivery notes and warehouse receipts issued by the warehouse clerk.
Administrative & Reporting Duties
Completes reports by entering required information (delivery and receipt of items) on OpenBravo (Warehouse Management System).
Ensures all documents are recorded in their specific files.
Reads daily attendance for all departments.
Keeps records of all sick and local leave for all SDI Warehouse staff.
Answers all client queries concerning stock and invoices.
Raises all monthly invoices on OpenBravo and mails clients their respective invoices.
Monitors client payment follow-up and updates OpenBravo accordingly.
Prepares clients’ statements of account and chases overdue payments.
Prepares financial analysis, debtors & creditors reports, and cash flow statements monthly.
Prepares all outgoing payments (cheques) and payment vouchers.
Updates all cash and bank ledgers for the accounting department.
Monitors petty cash records.
Prepares VAT returns quarterly.
Ensures all documents are kept in their respective files for the Accounting & Administration Department.
Client & Operational Support
Prepares client quotations as per service requirements.
Prepares client storage contracts and monitors renewal dates.
Monitors stationary inventory and stock of all documents needed for the operations department, ordering before stock runs out.
Assists other personnel to support them in completing their work activities.
Answers incoming department telephone calls pertaining to warehouse issues and responds to customer communication via email, fax, and telephone.
Contributes to team efforts by accomplishing related results as needed.
Assists in other duties assigned by the Warehouse Manager where necessary.
Proven experience as a Warehouse Coordinator or in a similar logistics role.
Strong understanding of logistics and warehouse principles.
Proficiency in warehouse management systems (WMS) and Microsoft Office Suite.
Excellent leadership, organizational, and problem-solving skills.
Ability to work in a fast-paced environment and manage multiple tasks.
High school diploma or equivalent; degree in logistics, supply chain management, or a related field.
