Our client in the distribution sector is seeking to recruit a Stock and Maintenance Administrator who will report to the Head of Department.

 

The incumbent will be responsible for overseeing stock control, inventory management, people management, training, safety and health compliance, and will ensure the availability of necessary supplies, efficient stock utilization, a safe working environment, and compliance with data protection regulations.

Responsibilities:

  • Stock Control and Inventory Management:
  • Monitor and maintain accurate stock levels of materials, supplies, and equipment.
  • Conduct regular inventory checks, reconcile discrepancies, and update inventory records.
  • Coordinate with suppliers for timely procurement of required items while optimizing costs.
  • Implement stock control procedures, including storage, labeling, and stock rotation.

People Management and Training:
  • Supervise a team of stockroom personnel, providing guidance and support in their daily tasks.
  • Assign work assignments, monitor progress, and ensure optimal performance.
  • Conduct training sessions for stockroom personnel on stock control procedures, inventory management, and maintenance tasks.
  • Foster a positive work environment, encourage teamwork, and provide feedback for continuous improvement.

Safety and Health Compliance:
  • Ensure compliance with safety and health regulations, including proper handling and storage of hazardous materials.
  • Implement safety protocols and provide training to staff on safe working practices.
  • Conduct regular safety inspections, identify potential hazards, and take necessary corrective actions.
  • Maintain records of safety incidents, near-misses, and accidents and implement measures to prevent reoccurrence.

Data Protection Compliance:
  • Ensure compliance with data protection regulations and policies.
  • Handle and manage sensitive data in accordance with applicable privacy laws.
  • Implement security measures to protect data integrity and confidentiality.
  • Assist in conducting data protection impact assessments and audits as required.

Data Management and Reporting:
  • Maintain accurate and up-to-date records of stock levels, inventory movements, maintenance activities, and safety reports.
  • Generate reports on stock usage, inventory trends, maintenance performance, and safety metrics.
  • Analyze data to identify opportunities for cost savings, process improvements, and inventory optimization.
  • Provide regular updates and reports to management regarding stock status, maintenance activities, and safety compliance.

Compliance and Documentation:
  • Ensure compliance with relevant regulations, safety standards, data protection laws, and internal policies.
  • Maintain documentation related to stock control, inventory management, maintenance procedures, safety protocols, and data protection.
  • Assist in audits and inspections related to stock, maintenance, safety, and data protection activities.

Collaboration and Communication:
  • Collaborate with other departments, such as procurement, production, and facilities, to ensure smooth operations and coordination.
  • Communicate effectively with team members, vendors, and stakeholders regarding stock, maintenance, safety, and data protection matters.
  • Provide support and guidance to colleagues regarding stock management, maintenance best practices, safety protocols, and data protection compliance.

Cognate Duties Assigned by Head of Department:
  • Perform additional duties and responsibilities as assigned by the Head of Department.
  • Assist in departmental projects, initiatives, and process improvements.
  • Collaborate with other team members on cross-functional assignments or tasks.
Profile:

  • Diploma in stock/inventory management or equivalent, Preferably in Business Management / Stock Control.
  • Proven experience in stock control, inventory management, people management, safety compliance.
  • Strong organizational skills with attention to detail and accuracy.
  • Proficient in using inventory management software, MS Office applications, safety management systems.
  • Excellent communication, interpersonal, and leadership skills.
  • Ability to prioritize tasks, handle multiple responsibilities, and work independently.
  • Knowledge of safety regulations, data protection regulations, and best practices.
