Job Summary:
We are seeking a professional and organized Receptionist cum Administrative Assistant to manage our front desk and provide essential administrative support across departments. This role requires excellent communication skills, strong organizational abilities, and a positive, proactive attitude. The ideal candidate will ensure smooth day-to-day operations while maintaining a welcoming environment for visitors and staff.
Key Responsibilities:
Reception Duties:
- Greet and welcome visitors, clients, and vendors in a professional manner.
- Answer, screen, and forward incoming phone calls promptly and efficiently via PABX.
- Maintain a tidy and presentable reception area.
- Manage visitor logs, drivers’ logbook and ensure security protocols are followed.
- Receive, sort, and distribute incoming mail and deliveries.
- Handle outgoing mail and courier services.
Administrative Support:
- Assist in preparing documents, reports, memos, and correspondence.
- Maintain and update company records, files, and databases (digital and paper-based).
- Schedule meetings, appointments, bookings and conference rooms.
- Coordinate travel arrangements and accommodations when needed.
- Support the HR/Finance/Admin departments with clerical tasks.
- Assist in organizing company events, meetings, or training sessions.
- Perform any other related duties as assigned.
Qualifications & Skills:
- Minimum SC/HSC.
- Proven experience as a receptionist, customer service, administrative assistant, or similar role.
- Proficient in MS Office (Word, Excel, Outlook, PowerPoint).
- Excellent communication and interpersonal skills.
- Strong multitasking and time-management abilities.
- Professional appearance and demeanour.
- Discretion and confidentiality are essential.
- Ability to work independently and under minimal supervision.
- Ability to handle difficult clients/customers with professionalism.
- Self-motivated with a proactive approach.
