We are seeking a professional and organized Receptionist cum Administrative Assistant to manage our front desk and provide essential administrative support across departments.

 

Job Summary:

We are seeking a professional and organized Receptionist cum Administrative Assistant to manage our front desk and provide essential administrative support across departments. This role requires excellent communication skills, strong organizational abilities, and a positive, proactive attitude. The ideal candidate will ensure smooth day-to-day operations while maintaining a welcoming environment for visitors and staff.


Key Responsibilities:

Reception Duties:

  • Greet and welcome visitors, clients, and vendors in a professional manner.
  • Answer, screen, and forward incoming phone calls promptly and efficiently via PABX.
  • Maintain a tidy and presentable reception area.
  • Manage visitor logs, drivers’ logbook and ensure security protocols are followed.
  • Receive, sort, and distribute incoming mail and deliveries.
  • Handle outgoing mail and courier services.

Administrative Support:

  • Assist in preparing documents, reports, memos, and correspondence.
  • Maintain and update company records, files, and databases (digital and paper-based).
  • Schedule meetings, appointments, bookings and conference rooms.
  • Coordinate travel arrangements and accommodations when needed.
  • Support the HR/Finance/Admin departments with clerical tasks.
  • Assist in organizing company events, meetings, or training sessions.
  • Perform any other related duties as assigned.

Qualifications & Skills:

  • Minimum SC/HSC.
  • Proven experience as a receptionist, customer service, administrative assistant, or similar role.
  • Proficient in MS Office (Word, Excel, Outlook, PowerPoint).
  • Excellent communication and interpersonal skills.
  • Strong multitasking and time-management abilities.
  • Professional appearance and demeanour.
  • Discretion and confidentiality are essential.
  • Ability to work independently and under minimal supervision.
  • Ability to handle difficult clients/customers with professionalism.
  • Self-motivated with a proactive approach.
