Rogers Capital Technology Services Ltd is searching for a Receptionist & Admin Assistant to work in his Managed Connectivity department to provide efficient and effective service at the reception for visitors and staff.
Skills required
- Higher School Certificate / Diploma Good communication skills (Both English & French - Oral and Written) Pleasant personality, self-motivated and dynamic.
- Well conversant with Microsoft Office Tools Good planning, analytical and interpersonal skills.
- Strong organizational skills with the ability to multi-task and to take initiative.
- Ability to maintain records and prepare reports.
- Ability to perform efficiently with minimum supervision and within deadline.
Duties
- Welcome visitors and staff by greeting them.
- Maintain security by following procedures.
- Monitor visitors' logbook.
- issue visitors' badges.
- Respond efficiently to telephone enquiries, both from internal and external customers, ensuring that calls are re-directed if necessary, and responding to enquiries in a prompt and polite manner.
- Assist the head of department, managers and staff for coordinating and planning their overseas travels.
- Maintain safe and clean reception area by complying with procedures, rules, and regulations.
- Provide excellent customer service Assist staff and management on meeting room reservations when requested.
- Assist staff and management on transport reservation requests.
- Open, acknowledge and record the receipt and dispatch of correspondences.
- Plan daily dispatch with messengers and efficient dispatch book maintenance.
- Manage and order monthly office supplies (Stationery, kitchen supplies & accessories, etc…) .
- Supervise the messengers on daily operations.
- Foster and maintain good working relations with all other departments, internal and external customers, suppliers and employees in the Rogers sectors.
- Processing purchase orders Issuing sales transaction invoices .
- Supporting the sales department with other administrative tasks, if requested.
