Key Responsibilities:

  1. Greeting and Welcoming Visitors:
    • Greet guests and visitors upon arrival in a professional, friendly manner.
    • Direct visitors to the appropriate person or department.
  2. Answering Phones:
    • Answer incoming calls, route them to the appropriate individual or department.
    • Take messages when necessary and ensure they are relayed promptly.
  3. Managing Appointments:
    • Schedule, confirm, and manage appointments or meetings for staff members.
    • Ensure the reception area is organized and tidy for visitors.
  4. Administrative Support:
  • Follow up debtors
    • Provide general administrative support, such as filing, faxing, scanning, and data entry.
    • Handle office supplies inventory and order supplies when needed.
  1. Handling Mail and Deliveries:
    • Sort and distribute incoming mail and packages.
    • Prepare outgoing mail or courier deliveries.
  2. Customer Service:
    • Address any general inquiries, complaints, or concerns with a professional attitude.
    • Ensure a high standard of service to guests, clients, and employees.
  3. Security Duties:
    • Monitor visitor access and maintain security protocols by issuing visitor badges or logging entry and exit times.
    • Ensure compliance with health and safety regulations.

Skills and Qualifications:

  • Communication: Excellent verbal and written communication skills.
  • Customer Service: Strong ability to handle various types of customer inquiries and issues.
  • Organization: Able to juggle multiple tasks and maintain a high level of organization.
  • Technical Skills: Proficient in using office equipment (phones, fax machines, scanners) and computer software (Microsoft Office Suite, etc.).
  • Attention to Detail: Strong focus on accuracy and following procedures.
  • Multitasking: Ability to prioritize tasks in a fast-paced environment.
  • Education: HSC Leavers
