The Property Assistant will support the Property Management Team in the day-to-day management of properties, assisting with tenant relations and administrative tasks.
Duties & Responsibilities
1. Property Operations Support
- Assist in overseeing the day-to-day property operations, ensuring properties are well-maintained and compliant with regulations.
- Help manage tenant move-ins and move-outs, ensuring smooth and professional processes.
- Assist in lease administration, including renewals, terminations, and documentation, in accordance with company policies.
- Coordinate and track administrative tasks related to property operations to ensure timely completion.
2. Tenant Relations Support
- Serve as a point of contact for tenants, addressing inquiries, concerns, and requests promptly and professionally.
- Maintain positive tenant relationships by ensuring their needs are met and concerns are addressed promptly.
- Assist with rent collection processes, including reminders for overdue accounts and facilitating timely payments.
- Promote tenant satisfaction through proactive communication and attention to detail.
3. Administrative and Documentation Support
- Maintain accurate records for lease agreements, tenant communications, and other property-related documentation.
- Assist in preparing and maintaining property management reports, including occupancy rates, rent collections, and lease statuses.
- Support the Property Management Team in preparing correspondence to tenants, including notices, reminders, and updates.
- Ensure all property-related documentation is organised, up-to-date, and compliant with company standards and legal requirements.
4. Compliance and Risk Management Support
- Maintain accurate records for lease agreements, tenant communications, and other property-related documentation.
- Assist in preparing and maintaining property management reports, including occupancy rates, rent collections, and lease statuses.
- Support the Property Management Team in preparing correspondence to tenants, including notices, reminders, and updates.
- Ensure all property-related documentation is organised, up-to-date, and compliant with company standards and legal requirements.
5. Customer care and Satisfaction
- Maintain accurate records for lease agreements, tenant communications, and other property-related documentation.
- Assist in preparing and maintaining property management reports, including occupancy rates, rent collections, and lease statuses.
- Support the Property Management Team in preparing correspondence to tenants, including notices, reminders, and updates.
- Ensure all property-related documentation is organised, up-to-date, and compliant with company standards and legal requirements.
6. Team Collaboration and Communication
- Provide support to the Property Management Team in coordinating tasks and communication between team members and other departments.
- Help foster a positive and collaborative work environment by communicating effectively with team members and stakeholders.
7. Others
Any other cognate duties as may be necessary in the circumstances and/or required by the employer.
CANDIDATE’S PROFILE
Qualifications Required:
- Diploma holder in business administration or any similar field
- At least 3 years proven experience in administration
- Experience in a property environment will be an advantage
