JMU Ltd is recruiting a Personal Assistant.

 

We are seeking a highly organized and proactive individual to join our team at JMU Ltd as a Personal Assistant. As a key member of our administrative staff, you will play a vital role in supporting the daily operations of our office and assisting senior management. This position offers an exciting opportunity to contribute to the success and growth of our company while gaining valuable experience in a dynamic business environment.

 Your responsibilities will include but are not limited to:

 

Meeting Attendance and Minutes: You will be responsible for attending meetings at the office and accurately recording minutes. This task requires keen attention to detail and the ability to capture important discussions and action items.

 

Strategic Participation: Actively participate in plans to expand the activities of JMU Ltd. This may involve conducting research, preparing presentations, and collaborating with team members to develop strategies for business growth.

 

Project Follow-Up: Follow up on new projects and may be called to assist in various office projects. This involves coordinating tasks, tracking progress, and ensuring timely completion of deliverables.

 

Training Provision: Provide training as needed to support the professional development of team members. This may include onboarding new employees, conducting training sessions, and providing ongoing support and guidance.

 

Administrative Support: Perform general administrative and secretarial duties such as answering phones, managing correspondence, and organizing files. You will also be responsible for maintaining office supplies and equipment.

 

Purchase Order Preparation: Prepare Purchase Orders for JMU Ltd. This involves accurately documenting purchase requests, obtaining necessary approvals, and coordinating with vendors to ensure timely delivery of goods and services.

 

Payment Processing: Effect payments for JMU Ltd, including invoices, bills, and expenses. You will be responsible for verifying payment details, obtaining approvals, and processing payments in accordance with company policies and procedures.

 

Insurance and Tax Renewals: Ensure timely follow-up on the renewals of Insurance/Road Tax for all company vehicles. This involves liaising with insurance providers, monitoring renewal dates, and ensuring compliance with regulatory requirements.

 

Invoice Management: Update the system with all invoices received for JMU Ltd. This task requires meticulous attention to detail to accurately record and track financial transactions.

 

Communication Coordination: Ensure smooth communication with Swan Group and follow up on all administrative duties, including commission payments and other related tasks.

 

Accounts Payable Management: Manage and follow up on accounts payable for JMU Ltd. This involves reconciling accounts, processing vendor invoices, and resolving any discrepancies or issues.

 

Document Filing: File documents as required, maintaining organized and efficient filing systems to facilitate easy retrieval of information.

 

Director's Agenda Management: Manage the Director's daily agenda and communicate/remind on a daily basis to the Director. This includes scheduling appointments, coordinating meetings, and prioritizing tasks to maximize productivity.

Qualifications:

At least an HSC qualification.
