We’re a leading Investor Services group offering end-to-end services in administration, accounting, reporting, regulatory and compliance needs of the investment sector worldwide.

 

 An entry-level secretarial position responsible for delivering basic secretarial services under supervision. This role focuses on standardized processes and routine operational activities while developing core competencies. The position handles low-complexity tasks within established frameworks, with all work subject to review by Senior Officer.

Core Responsibilities: 

  • Execute low complexity corporate secretarial and administrative work.
  • Process standard documentation and transactions.
  • Support compliance and due diligence activities.
  • Maintain accurate records and system updates.
  • Assist in preparation of reports and corporate documentation.

Tasks:

Corporate Secretarial:

  • Assist to prepare (annual) board meetings documents - agenda, list of transactions, attendance list, power of attorney. 
  • Assist to prepare (annual) general meetings documents - agenda, convocation letter, attendance list, power of attorney, declaration of external director.
  • Minutes writing based on template - directors, shareholders/ members meetings.
  • Drafting of resolutions based on template (directors, shareholders/ members).
  • Updating of simple structure chart.
  • Statutory changes (simple tasks) 
  • Assistance on bank account opening.
  • Assistance with bank periodic file reviews.
  • Assistance for change in bank signatories.

Compliance & Documentation:

  • Compliance/ client file reviews.
  • Review client due diligence (CDD) documents.
  • Conduct compliance checks (bad press and world checks)
  • Transaction monitoring

Administrative & Client Support:

  • Process payment instructions.
  • Monitor cash collection.
  • Update time sheets and planning information.
  • Flag client/service issues proactively.
  • Handle additional duties as required.

Qualifications

Educational Background:

  • Degree holder and/or related Professional qualification.

Professional Experience:

  • Internship or 0–1 year of experience in a similar role
