The Guest Services and Tournament Coordinator plays a pivotal role in ensuring the seamless operation of the Guest Services Team. This individual is tasked with overseeing and coordinating team activities throughout the day to guarantee that all roles and responsibilities are executed effectively.

 

Leadership and Staff Management

  • Supervise and guide attendants in their daily responsibilities, including greeting members/guests, managing reservations, handling billing/cashiering tasks, addressing customer inquiries, and supporting events.
  • Conduct regular training sessions to ensure attendants are knowledgeable about club services, policies, event procedures, tournament administration, and best practices in customer service.
  • Monitor staff performance through regular evaluations; provide constructive feedback to improve service quality.
  • Create work schedules for attendants to ensure adequate coverage during peak hours while adhering to labor regulations.
  • Act as a point of escalation for any issues or challenges faced by attendants during their shifts.

Guest Experience Oversight

  • Ensure that all members and guests are warmly welcomed upon arrival by observing interactions between attendants and visitors.
  • Monitor the overall atmosphere of the reception area to ensure it remains friendly, professional, organized, and inviting at all times.
  • Address escalated guest complaints or concerns promptly with professionalism and tact.
  • Regularly review feedback from members/guests regarding their experiences at the club; implement improvements based on this feedback where necessary.
  • Ensure a positive farewell experience for departing members/guests by thanking them for visiting the club.

Tee Sheet Management

  • Utilization Optimization: Ensure the tee sheet is effectively utilized throughout operating hours by monitoring bookings in real-time and strategically filling available slots to maximize occupancy rates while balancing guest satisfaction.
  • Policy Enforcement: Uphold the pairing-up policy by ensuring guests are paired appropriately based on availability unless otherwise specified by management or special requests and enforce beachcomber policies (or other relevant policies) consistently across all bookings while maintaining flexibility when necessary for exceptional cases.

Tournament Coordination

  • Coordinate all member and non-member tournaments or events from initial planning stages through completion.
  • Develop relationships with new groups (e.g., local businesses or charity organizations) to promote tournament venues at the club.
  • Schedule tee times for members/groups while ensuring accuracy in reservations systems.
  • Maintain accurate records related to groups/tournaments including participant lists or financial details.
  • Collaborate with customers to promote tournaments/events while offering additional services such as logo merchandise sales or golf equipment rentals.
  • Prepare/distribute information about tournaments (e.g., critical dates/course closures) to members/groups in advance of scheduled events.
  • Administer tournaments according to facility tournament manuals; assist with golfer registration during these events.
  • Promote and initiate new member club competitions and tournament events, to create a competitive and social club environment for member and guest satisfaction.
Event Coordination Support
  • Provide support for special events such as tournaments or social gatherings by assisting with guest check-in/registration processes, scoring and prize-giving processes.
  • Work closely with the events team to ensure smooth execution of club events by coordinating logistics between departments (e.g., catering or groundskeeping).
  • Assist in preparing event-related materials such as schedules or promotional content.

Member Relations
  • Build strong relationships with club members by fostering a sense of community within the facility.
  • Address member feedback/concerns empathetically while working toward resolutions that enhance satisfaction levels among patrons.
  • Act as a liaison between members/guests & management teams when communicating suggestions aimed at improving overall experiences within facilities.

Operational Excellence

  • Oversee check-in/reception processes ensuring smooth operations even during busy periods like tournaments/events.
  • Audit billing/cashiering processes periodically ensuring accuracy across transactions handled by attendants.

Facility Management

  • Inspect the reception area regularly to ensure it is clean, organized, well-stocked with necessary supplies (e.g., brochures or forms), and visually appealing at all times.
  • Coordinate with housekeeping or maintenance teams if any issues arise in keeping the area presentable.

Staffing & Human Resources

  • Implement on going skills training to ensure service standards are being upheld.
  • Develop and monitor Guest Services performance and assist with planning staff goals
  • Assist with staff evaluation reports with proposed action plans.
  • Effectively administer and monitor staff scheduling procedures.
  • Demonstrate an exceptional level of professionalism for the staff to emulate.
  • Create a motivating environment of sincerity, warmth and fun for staff and guests.
  • Implement and monitor negative staff behavior and disciplinary guidelines with follow through
