Key Responsibilities

  • Perform corporate secretarial duties, prepare meetings, draft minutes/resolutions, and conduct periodic regulatory risk reviews.
  • Handle a portfolio of clients, acting as their primary point of contact.
  • Ensure timely and efficient execution of all client transactions.
  • Conduct closings for closed-end funds, admit investors, and perform customer due diligence.
  • Prepare capital calls/drawdown notices and secure Board/GP approval.
  • Maintain drawdown trackers and ensure share registers are updated.
  • Prepare and review written resolutions for transactions, including investments, restructuring, and disposals.
  • Prepare and review Board packs, arrange and attend Board meetings, and follow up on arising matters and prepare resolutions.
  • Prepare, process, and review monthly and ad-hoc payment instructions both manually and via internet banking.
  • Assist the accounting team with finalizing and filing annual audited financial statements.
  • Address client queries promptly, maintaining high service standards.
  • Maintain complete and organized client files, both physical and digital.
  • Ensure information is uploaded and updated in internal systems.
  • Ensure necessary filings as per the legal and regulatory framework are completed within deadlines.
  • Ensure compliance with internal systems, procedures, and processes.
  • Undertake other relevant tasks as required by the role and business needs.

Qualifications

  • Degree in Law & Management, Accounting, or currently pursuing ACCA/ICSA.

Experience Required

  • Minimum 2-4 years in a similar role within a management company.
  • Strong understanding of legal and regulatory frameworks relevant to fund administration.
  • Analytical mindset with problem-solving abilities.
  • Proficiency in MS Excel, Word, PowerPoint, and Outlook.
  • Excellent written and verbal communication skills.
  • Strong organizational and multitasking capabilities.
  • Ability to thrive in a fast-paced, high-pressure environment.
  • High level of accuracy and attention to detail.
Note:  You will be responsible for a wide range of fund/corporate administrative tasks crucial to the efficient and effective running of our fund and/or corporate services department. 
We will also consider candidates for various positions in corporate administration.
