Primarily supervises front office team members to ensure efficient and smooth operations for guest satisfaction. Responds in a professional and courteous manner to arriving, departing and in-house guests by providing accurate and timely information and services.
JOB KNOWLEDGE, SKILLS & ABILITIES :
- Appear confident, well groomed, dressed in a smart casual manner
- Personality: warm, welcoming, and pleasant
- The ability to multitask and manage time
- Self-motivated
- Fluency in English & French compulsory
- Proficiency in Microsoft Office software: Word, Excel and PowerPoint, as a minimum
DUTIES & RESPONSIBILITIES:
- Ensure outstanding customer care at all times
- Maintains a friendly, cheerful and courteous manner at all times
- Accurately answer inquiries from potential guests and accepts hotel reservations
- Responds to telephone and in-person inquiries from potential guests and accepts hotel reservations
- Allocation of rooms and checking of allocated guest rooms prior to guest arrival
- The monitoring and maintaining of all guest check-ins and checkouts
- The correct handling of groups – arrivals, luggage, account instructions, departures, staffing levels for groups
- Maintaining a strict control of all accounts, daily follow-up where required and verifying of all walk-ins method of payments
- The correct handling of all messages and the prompt deliver of such to the Information Desk
- To ensure the proper recording and accuracy of all information and messages regarding individuals and groups in the computer
- Supervise daily shift process ensuring all team members adhere to standard operating procedures
- Monitoring the correct replying to reservations correspondence (telephone, fax, e-mail, and letters)
- Train, direct the work of, resolve issues/ problems and coach and counsel the front desk team members to ensure a quality operation
- Resolve customer issues, complaints, problems in a quick, efficient manner to maintain a high level of customer satisfaction and quality service
- Allocate rooms to expected arrivals after checking the guests preferences and special requests
- Build strong relationships and liaise with all other department’s especially housekeeping, reservations, etc
- Cross check all billing instructions are correctly updated
- Supervise the operations of the front desk to ensure an optimal level of service and hospitality is provided to the guests
- Ensure guest luggage is carried by Porters to/ from their rooms on arrival/ departure, and also during room change
- Assisting of guests with regard to booking of tours, taxis, maps and general information
- Ensuring Luggage room is kept clean and tidy at all times
JOB REQUIREMENTS:
- Experience: 1 to 2 years experience as Senior Receptionist
- Personal Qualities: Ability to remain calm while under pressure
