The Facilities Support Assistant will be responsible for maintaining accurate records, coordinating routine tasks, and supporting internal teams with day-to-day operations. To provide administrative and operational support to ensure the smooth functioning of business processes.
Responsibility
- Maintain and update internal tracking systems and databases with high accuracy.
- Generate and distribute regular and ad-hoc reports to support business operations.
- Coordinate logistics for transport requests, meetings, and other operational needs.
- Assist in scheduling and monitoring servicing, repairs, and maintenance of company assets (e.g. vehicles, equipment).
- Support the daily planning and coordination of drivers, office attendants, or other support staff.
- Liaise with internal teams and external service providers to ensure timely delivery of services.
- Monitor contract timelines and assist in tracking renewals or terminations.
- Provide general administrative support including filing, data entry, and document preparation.
- Monitor and replenish office supplies (stationery, pantry, etc.)
- Ensure meeting rooms and common areas are kept tidy and functional.
- Coordinate the setting up for meetings or events.
- Perform basic physical security tasks such as retrieving CCTV footage and conducting routine equipment checks.
- Update Work Order Tracking System
Profile
- Higher School Certificate (HSC) or equivalent.
- 1–2 years of experience in an administrative or business support role (preferred).
- Proficiency in Microsoft Office tools (Excel, Word, Outlook).
- Experience with internal tracking systems or databases is an advantage.
