Position Title: Chief Operating Officer (COO) - Facilities Management

Job Summary: The Chief Operating Officer (COO) in facilities management is responsible for overseeing the day-to-day operations of the company's facilities, ensuring smooth functioning, efficiency, and compliance with regulations and standards. Reporting directly to the upper management, the COO plays a key role in developing and implementing strategic plans to optimize facility operations and enhance organizational performance.

Responsibilities:

  1. Strategic Planning:

    • Collaborate with executive team members to develop and execute strategic plans for facility operations that align with the organization's goals and objectives.
    • Identify opportunities for process improvement, cost reduction, and operational efficiency enhancements.
  2. Operational Oversight:

    • Direct and oversee all aspects of facility operations, including maintenance, security, housekeeping, and utilities management.
    • Develop and implement policies and procedures to ensure compliance with safety regulations, building codes, and environmental standards.
    • Monitor key performance indicators (KPIs) and metrics to assess operational performance and identify areas for improvement.
  3. Budget Management:

    • Develop and manage the annual budget for facility operations, ensuring that resources are allocated effectively to support operational needs.
    • Monitor expenses and variances, and implement cost-control measures to optimize spending while maintaining quality standards.
  4. Team Leadership:

    • Provide leadership and guidance to facility management teams, fostering a culture of collaboration, accountability, and continuous improvement.
    • Recruit, train, and develop staff to build a high-performing team capable of meeting operational objectives.
  5. Vendor Management:

    • Oversee vendor selection and contract negotiations for facility-related services, such as maintenance, security, and landscaping.
    • Establish and maintain relationships with external vendors and service providers to ensure quality service delivery and cost-effectiveness.
  6. Compliance and Risk Management:

    • Ensure compliance with all relevant laws, regulations, and industry standards governing facility operations.
    • Identify and mitigate operational risks through proactive risk assessment and management strategies.
  7. Project Management:

    • Oversee facility-related projects, such as renovations, expansions, or equipment upgrades, from conception to completion.
    • Coordinate with internal teams and external stakeholders to ensure projects are delivered on time, within budget, and to specifications.

Qualifications:

  • Bachelor's degree in facilities management, engineering, business administration, or a related field; Master's degree preferred.
  • Proven experience in a senior management role overseeing facility operations, preferably in a large-scale organization.
  • Strong leadership and interpersonal skills, with the ability to effectively communicate and collaborate with diverse stakeholders.
  • Solid understanding of facility management principles, including maintenance best practices, safety protocols, and regulatory requirements.
  • Excellent analytical and problem-solving abilities, with a track record of driving operational excellence and cost savings.
  • Proficiency in budgeting, financial analysis, and project management software tools.
  • Relevant certifications (e.g., Certified Facility Manager, LEED accreditation) are a plus.
