We are looking for a dynamic and well-organized Administrative Assistant to provide cross-functional support across key business units while managing front desk operations.
Key Responsibilities:
- Provide administrative and database support (supplier registration, purchase requests, filing, office supplies & amenities control)
- Act as first point of contact at reception — welcoming visitors, managing the switchboard, responding to customer queries professionally and maintaining a tidy, secure and well-organized front office environment
- Coordinate daily dispatch and ensure effective internal communication
- Provide comprehensive administrative support to the Human Capital department by scheduling & coordinating interviews, assisting with key HR initiatives and health & safety matters (including distribution of PPE and uniforms) and maintaining accurate, up-to-date records
- Coordinate training and briefing sessions (participant schedule, end to end logistics including venue, IT setup, refreshments, attendance monitoring)
- Coordinate meetings and prepare reports (as may be required)
- Proactively communicate with internal & external clients and business partners regarding services and interventions
Job Requirements:
- Certificate in Administration, or related field
- At least 3 years previous experiences in an administrative support role
- Strong organizational skills with the ability to prioritize, multitask, and meet deadlines
- Excellent communication and interpersonal skills to liaise with different stakeholders
- Computer literate and at ease with Microsoft Office
- Demonstrated ability to handle sensitive and confidential information with discretion
- Adaptable, proactive, and solution-oriented, with a customer-service mindset
- Team player who can also work independently with minimal supervision
- Flexibility to support occasional tasks outside core duties
