The Receptionist will play a vital role in creating a positive impression of the organization and ensuring smooth daily operations through professional and courteous service

 

Key Responsibilities

  • Greet and welcome visitors, clients, and employees with professionalism and courtesy
  • Answer and direct incoming phone calls to appropriate departments or personnel
  • Schedule and confirm appointments, meetings, and conference room bookings
  • Maintain an organized reception area and ensure it remains clean and welcoming
  • Manage reception desk activities including mail distribution, package receipt, and courier services
  • Maintain accurate visitor logs and sign-in procedures
  • Prepare and distribute correspondence and documents as directed
  • Perform general data entry and maintain visitor/client databases
  • Provide information to callers and visitors about the organization, services, and facilities
  • Relay messages promptly and accurately to appropriate staff members
  • Coordinate with various departments to facilitate smooth operations
  • Handle routine inquiries and resolve issues within scope of authority

 

Required Qualifications

  • High school diploma or equivalent
  • Proven experience as a receptionist or in a similar customer-facing role (minimum 1-2 years preferred)
  • Excellent verbal and written communication skills
