The Receptionist will play a vital role in creating a positive impression of the organization and ensuring smooth daily operations through professional and courteous service
Key Responsibilities
- Greet and welcome visitors, clients, and employees with professionalism and courtesy
- Answer and direct incoming phone calls to appropriate departments or personnel
- Schedule and confirm appointments, meetings, and conference room bookings
- Maintain an organized reception area and ensure it remains clean and welcoming
- Manage reception desk activities including mail distribution, package receipt, and courier services
- Maintain accurate visitor logs and sign-in procedures
- Prepare and distribute correspondence and documents as directed
- Perform general data entry and maintain visitor/client databases
- Provide information to callers and visitors about the organization, services, and facilities
- Relay messages promptly and accurately to appropriate staff members
- Coordinate with various departments to facilitate smooth operations
- Handle routine inquiries and resolve issues within scope of authority
Required Qualifications
- High school diploma or equivalent
- Proven experience as a receptionist or in a similar customer-facing role (minimum 1-2 years preferred)
- Excellent verbal and written communication skills
