JOB DESCRIPTION

Job Title:               Student Administration Assistant

Campus:                Mauritius Branch Campus

Reporting to:         Head of Student Administration

 

 

Overall Purpose:   

 

The post holder will deliver high-quality, reliable administrative support to the Head of Student Administration, the Student Administration team, and the students. The role plays a key part in ensuring the smooth and efficient operation of student-facing processes within the department and contributes to an excellent student experience by providing timely, accurate, and professional administrative services.

 

 

Principal Duties:

 

  • Provide day-to-day administrative support to the Head of Student Administration, ensuring effective coordination and completion of assigned tasks, while tracking deadlines and priorities.
  • Assist in the preparation of data collection and documentation to support decision-making, ensuring compliance with data privacy and security policies.
  • Receiving and directing inquiries efficiently, ensuring timely and professional responses.
  • Perform general administrative duties including printing, scanning, archiving, and maintaining shared folders and calendars.
  • Assist with student lifecycle processes such as enrolment, module selection, and results processing, ensuring excellent customer service and appropriate referral of complex issues.
  • Organise and manage the administrative process for optional module selection across all schools, compiling accurate summary reports to support academic planning.
  • Process room booking requests for teaching and departmental use.
  • Work collaboratively with colleagues, sharing best practices and supporting each other during peak periods. Take ownership of allocated tasks and follow through to completion with minimal supervision.
    • Demonstrate flexibility and responsiveness to changing work priorities, contributing to service improvements.
    • Other tasks that may be required by the Head of Student Administration, with particular reference to major events such as examination, invigilation and graduation ceremonies, when all campus staff are expected to participate.

 

Other Duties:

  • As duties and responsibilities change, the job description will be reviewed and amended in consultation with the post-holder
  • The post-holder will carry out any other duties as are within the scope, spirit and purpose of the job as requested by the line manager.

 

Flexibility:  

Please note that given the need for flexibility in order to meet the changing requirements, the duties of this post and the role of the post holder may be changed after consultation.

 

 

PERSON SPECIFICATION

 

Job Title:  Student Administration Assistant

Selection Criteria:

Education / Qualifications – Essential

  • Educated to degree level or equivalent through relevant work experience.
  • Experience in an administrative or similar role within higher education or a related sector.

 

Skills / Knowledge - Essential:

  • Strong organisational skills and attention to detail.
  • Excellent written and verbal communication skills.
  • Ability to manage competing deadlines and prioritise effectively.
  • Proficient in using Microsoft Office applications (Word, Excel, Outlook, PowerPoint) for day-to-day administrative tasks.
  • A positive, service-oriented attitude with a commitment to supporting students and colleagues.
  • Strong team player with a collaborative approach
  • Ability to handle confidential information with discretion.

 

 

Desirable:

 

  • Experience working in a UK university or college setting.
  • Familiarity with the student academic lifecycle and associated administrative processes.
  • Familiarity with student records systems (e.g. MISIS)
  • Understanding of data protection and records management in an academic environment.
