We are currently seeking a dynamic, responsible and reliable individual to join our Shipping Department as a Shipping Officer.

 

Job Responsibilities

  • Conduct administrative tasks;
  • Responsible for ensuring that all documents necessary for proper import procedures are duly completed.
  • Arranges for payment of any VAT, Duties, Levis etc., including settlement of any pending payments.
  • Assist the Import and Export Supervisor in preparing and follows up on Bill of Entry, EUR 1 and certificate of origin.
  • Assist in the verification of the Bill of Lading
  • Arranges the preparation and submission of all required documents to the MRA Office/other stake holders.
  • Arranges for the clearing of spare parts.
  • Dealing with Immigration / Airlines Offices;
  • Handle cargo documentation, invoices and shipment;
  • Input data on the MNS system for approval.
  • Monitor vessel arrival, operation while in port and departure;
  • Update customers on vessel activities and status of cargo clearance;
  • Update database on vessel arrivals, vessel departures and cargo documentation;
  • Verify records on incoming and outgoing shipments;
  • Liaise with and advises customers on shipping import / export procedures.
  • Update and maintain shipment records;
  • File all documents in the appropriate files on the company’s electronic and manual systems.
  • Will deal with correspondences and ensure that all clearance is done in a timely manner;
  • Carry out all work in line with the company’s standards, policies and procedures.
  • Keep proactively up to date with any changes in shipping import / export laws and regulations.
  • Assist in the Coordinate Operational activities at the port;
  • Act as receptionist for the Business Unit;
  • Be on call on a twenty-four-hour basis inclusive of Saturdays and Sundays;
  • Assist ISO Administrator as and when required;
  • Assist in the preparation of Bank Guarantees, licenses and bonds;
  • Participate in any training and development opportunities offered by the company;
  • Help in the preparation and submit reports to Management as and when required;
  • Perform all operational work attached with the position, in line with the company’s policies and procedures, and on the designated systems or as may be assigned by management;

 Accounting

  • Follow up on any accounting related documents and invoicing.
  • Collect payments (if any).
  • Assist in closing of final disbursement account;
  • Assist with management of overseas debtors;
  • Arrange for payment of local and overseas bills.
  • Issue appropriate receipts for all payment transactions.

 Customer Liaison

  • Liaise with and advises customers on shipping import / export procedures.
  • Provide the company’s internal and external customers with an excellent customer service.

 

 

Skills, Qualifications & Experience

  • Minimum HSC / Diploma or any other relevant qualification;
  • Be detailed oriented;
  • Effective listening and problem-solving skills;
  • Be ready to learn from others;
  • Must have a high ability of coordination;
  • Must have an intermediate level of the use of MS office package, specially excel and word;
  • Must have an intermediate or higher level of written spoken English and French;
  • Must be used to working in a fast pace high pressured environment and meet deadlines;
  • Must be prepared to be on out of hours and on call roster including Sundays & Public Holidays;
  • Possess a clean full driving license;
  • A clean Certificate of Character is a must;
  • Desired knowledge of the shipping industry is preferred but not essential;
