Are you highly organized, detail-oriented, and experienced in providing administrative support within a dynamic and technical environment? We are seeking a Secretary to the Chief Engineer to join our hotel group and support the Engineering Department across three hotel properties.
Key Responsibilities:
- Maintain the Chief Engineer’s calendar, schedule site visits, and coordinate inter-hotel meetings.
- Prepare and consolidate daily, weekly, and monthly maintenance reports from all three hotels.
- Track and log preventive and corrective maintenance activities across properties.
- Maintain centralized records of equipment servicing, permits, licenses, and warranties.
- Liaise with contractors and suppliers for quotations, contract management, and service schedules.
- Assist in budgeting, tracking expenditures, and monitoring inventory levels of tools, spare parts, and materials.
- Support the development and implementation of engineering policies and procedures.
- Communicate with other departments to coordinate repairs and maintenance works efficiently.
- Follow up on work orders and ensure timely completion and reporting.
- Prepare presentations, correspondence, and technical documentation as required by the Chief Engineer.
Candidate Profile:
- Minimum 3 years’ experience in a similar administrative or secretarial role, ideally in hospitality or facilities/engineering management.
- Excellent written and verbal communication skills in English and French
- Highly organized with strong attention to detail and ability to manage multiple priorities.
- Proficient in Microsoft Office Suite (Excel, Word, PowerPoint, Outlook); knowledge of maintenance software is a plus.
- Professional, discreet, and comfortable handling confidential information.
- Able to work independently and manage coordination between multiple hotel sites.
