Cobalt sales execution (after contracts are signed) for 3rd party & Intercompany sales and purchasing management and will report to the Head of Sales for Copper and Cobalt
Main tasks / responsibilities:
Sales documentation & administration
- Prepare, review, and maintain contracts, purchase orders (POs), invoices, credit notes, quality records, shipping/export documentation as needed
- Ensure accuracy and completeness of documents, coordinate internal sign-offs and approvals for sales workflows
- Generate invoices to customers and ensure compliance with contractual terms (prices, Incoterms, payment terms)
- Liaise with finance, follow up with customers and surveyors, resolve discrepancies, issue credit/debit notes or corrections as needed
Sales planning & forecasting support
- Manage of monthly allocation of production volume with production team and sales forecasts and providing monthly allocation plan to the customers, management of stocks and instructing releases at the warehouse
- Assist sales leadership in preparing sales forecasts, track order backlog, monitor sales pipeline vs. targets. Provide inputs and update forecasts based on actuals, customer feedback, logistics cycle
- Produce regular reports (weekly, monthly, quarterly) on sales performance: volumes, revenues, AR, payment delays, ageing, etc. Suggest insights / improvements
Process improvements & policy compliance
- Assist in streamlining sales processes (e.g. order to cash cycle), standardizing documentation/templates, reducing delays
- Ensure compliance with internal policies (discounts, approvals), with relevant trade/export/regulatory requirements (if applicable)
Other
- Maintain accurate data in SAP (including purchases, outbound deliveries, billing documents, etc.) and ensure records (customer, orders, contracts) are up to date
- Liaise among sales, operations/logistics, finance, legal/compliance teams to ensure contracts are uploaded, shipments happen as scheduled, documents required for shipping/export are ready, payments are cleared
- Maintain traceability and due-diligence records, actioning and managing customer claims

- Bachelor’s and/ or Master’s degree (Business, Finance, Commerce, Economics, or similar)
- 1-3 years experience in sales operations, sales support, finance/accounting, or related administrative roles. Industry exposure to metals, mining, commodities is a plus but not strictly required
- Fluency in English (oral and written)
- Knowledge of MS Excel, SAP
- Experience of working in commodities / metals / mining / resources industries
- Experience of administration in an internation environment
- Knowledge of SAP (SD/MM)
