This role involves answering and directing incoming calls, welcoming visitors, managing appointments, and providing general administrative support to ensure the smooth day-to-day operation of the front office. Strong communication skills, a polite manner, and the ability to multitask are essential.
Key Duties and Responsibilities:
1) To plan all assigned tasks based on the defined QMS process
2) To answer and to handle all the different incoming and outgoing telephone calls on time
3) To follow-up all daily unattended incoming and outgoing calls
4) To send messages, emails, and reminders with the proper information to the concerned
5) To inform the Team leaders if no confirmation has been received by email for calls of more than 24 hours
6) To make sure a daily unattended calls log sheet is sent to all team leaders
7) To greet and direct customers and visitors
8) To ensure a proper and orderly handling of incoming and outgoing dispatch couriers by making use of a dispatch logbook
9) To ensure a smooth reservation of the meeting rooms
10) To make sure the reception lobby is tidy
11) To perform admin services and any other cognitive duties that may be assigned as and when the need arises
