The core responsibility of the Receptionist & Administrative Assistant is to greet and receive visitors and customers, to handle incoming & outgoing calls and courrier as well as coordinating all meetings and functions and to provide an administrative support for all departments.
- Answer internal and external calls and redirect the calls to the concerned person/ department
- Attend calls from customers by providing them with the requested information
- Assist visitors and deal with inquiries on the phone and face to face
- Promptly email absent/unavailable staff on received telephone messages
- Ensure that the boardroom is clean and properly set up for meetings
- Manage facilities for staff and visitors, including record keeping of meeting rooms and access control
- Compile and maintain an up-to-date telephone directory of numbers and addresses
- Ensure the reception area is clean and well always maintained
- Assist all the Department Heads in their administrative tasks as and when required
- Maintain all records of permits and licenses updated and inform Management of due dates for renewal process
Candidate’s profile
- HSC and/or Certificate in Secretarial duties
- At least 2 years of experience in a similar position
- Excellent written and oral communication both in French and English
- Proficiency in MS office (Excel, Word, PowerPoint)
- Flexible, organized and pro-active
- Good interpersonal skills
- Detail oriented and a proven ability to multi-task
