Property Management Assistant

One of our sister company, Umbrella C Ltd, is looking for a Proper Management Assistant

MAIN TASKS AND RESPONSIBILITIES:

A. ADMINISTRATIVE AND FINANCIAL:
- Contract and lease administration & building  files
- Compliance with insurance and safety procedures
- Invoicing & tenant billings
- Assist in accounting for property files
- Copying & office services as needed

B. CLIENT | TENANT SYNDIC SERVICES | DAY-TO-DAY OPERATIONS
- Liaise between  tenants, owners, architects, building engineers, security & cleaning and suppliers
- Tenant communication, incoming calls, typing & mailing tenant correspondence
- Tenant requests, tenant issues or problems
- Manage building vendors and contractors on daily service issues as needed
- Ensure systems with building contractor, tenant & tenant construction certificates of insurance
- Visit the premises for prospects
- Assist with fit out projects/contractor relations
- Assist for AGM
- Oversee the building office files - organizing, labelling & filing
- Manage elevator, sprinkler & smoke detector shutdown requests and appropriate billing
- Assist building staff members on projects & mailing as needed
- Update lobby directory listings, phone books and emergency lists as needed
 

2. Years of experience needed                
- Minimum two (2) years’ administrative experience

3. Educational background needed

- BAC +2 with accounting 
- Experience in commercial real estate/property management
- Customer oriented
- Proactive, organized
- Multi-tasking
- Good written and verbal communication skills
- Word & Excel
