The overarching goal of this role is to support the optimization of procurement and import processes, thereby contributing to the overall operational efficiency and effectiveness of the organization.
Key Responsibilities:
- Liaising with suppliers to obtain quotes, place orders, and ensure timely delivery of goods and services.
- Coordinate with Freight Forwarders, Shipping lines/Carriers, etc.
- Preparing and maintaining accurate procurement documents, such as purchase orders, invoices, and import/export documentation.
- Ensuring all procurement and import activities comply with relevant laws, regulations, and company policies.
- Conducting market research to identify potential suppliers and stay updated on market trends and product availability.
- Assisting in tracking inventory levels and ensuring the availability of essential goods.
- Helping to analyse costs and negotiate favourable terms with suppliers to achieve cost-effectiveness.
- Assisting in the inspection of goods received to ensure they meet quality standards.
- Collaborating with various departments to understand their procurement needs and update them on order status.
- Addressing and resolving any issues related to procurement or import processes, such as delays or discrepancies in shipments.
- Performing data entry tasks and generating reports related to procurement and import activities.
Skills and Qualifications:
- Diploma in Business Administration, Supply Chain Management, or a related field is often preferred.
- Certificate plus relevant experience may be considered.
- Relevant certifications in procurement, supply chain management, or logistics can be beneficial.
- Prior experience in procurement, purchasing, supply chain, or a related field.
- Experience with import/export processes and customs regulations is advantageous.
- Proficiency in Microsoft Office Suite, particularly Excel.Familiarity with procurement software and tools.
- Basic understanding of inventory management systems.
- Understanding of procurement principles and practices.
- Knowledge of international trade, import/export regulations, and customs clearance procedures.
- Ability to negotiate terms and conditions with suppliers effectively.
- Excellent communication (verbal and written) and interpersonal skills.
- Strong organizational skills with the ability to multitask and prioritize.
- Professional appearance and demeanour.
- High level of discretion and confidentiality.
- Ability to work independently and collaboratively.

Working Conditions:
- Full-time, office-based role.
- Located in Port Louis
- Mon to Fri : 08h30 - 17h,
- Sat : 08h30 > 13h.
- May be required to do overtime from time to time.
