The Procurement agent will support the Procurement function by managing supplier sourcing (including outdoor/field sourcing), assisting in tender processes, and ensuring effective order tracking from request to delivery.
Main Duties & Responsibilities
- Support the procurement process for goods, works and services in line with company procedures.
- Assist in tender processes (RFQ/RFP) by preparing documents, contacting suppliers, collecting quotations, bid analysis, high level comments & maintaining records.
- Source suppliers through market research and outdoor/field visits when required.
- Team up with Procurement leads to negotiate quotations, lead times, and commercial terms with suppliers.
- Prepare technical and commercial comparison sheets for supplier evaluation.
- Follow up on purchase requisitions and purchase orders to ensure timely processing and approval.
- Track orders from placement to delivery and follow up on delays, shortages, or non-conformities. Keep requester informed and flag any exceptional deviation.
- Coordinate with requestors, stores, operations, and finance for smooth order execution. (e.g.: downpayment).
- Maintain accurate procurement records, supplier data, in ERP/Excel tools. Ensure procurement files are complete and properly documented for compliance and audit purposes.
- Support resolution of supplier issues related to delivery, quality, documentation, and invoicing (e.g: non-conformity, procurement coordination).
- Identify alternative sourcing opportunities and support cost optimization initiatives.
- Perform any other procurement-related duties assigned by the line manager.
Profile
- Good understanding of procurement processes (PR, RFQ/RFP, PO, delivery follow-up, documentation control).
- Ability to understand technical specifications and prepare technical/commercial comparisons.
- Good negotiation and supplier communication skills.
- Comfortable with field/outdoor sourcing visits and supplier site visits when required.
- Proficient in Microsoft Excel and comfortable using ERP systems (NetSuite or similar is an advantage).
- Strong follow-up, coordination, and organizational skills with attention to detail.
- Good communication skills in English and French (written and spoken) is an advantage.
- Proactive and service‑oriented, with the ability to deliver results under tight deadlines while ensuring strict adherence to established procedures.
Qualifications & Experience
- Diploma / Degree in Procurement, Supply Chain, Business Administration, or related field.
- 2–5 years’ experience in procurement, sourcing, purchasing, or technical/commercial buying.
- Experience in tender support (RFQ/RFP), supplier follow-up, and order tracking.
- Holder of a valid driving licence.
