Provide secretarial and administrative support to the Resident Manager
Duties & Responsibilities
- Provide secretarial and administrative support to the Resident
- Manager, with a strong emphasis on the coordination of the F&B administration office
- Manage and coordinate the Resident Manager’s daily schedule and appointments
- Take minutes of meetings and compile Management reports as and when requested by the Resident Manager
- Identify, rectify or report office equipment malfunctions
- Raise Purchase Requests for the F&B department
- Handle and follow up on all F&B shipment orders, cash vouchers, suppliers etc.
- Assist in the preparation of budget, forecast, and coordinate with the finance department for budgeting requirements.
- Handle all incoming and outgoing food and beverages correspondence including guest’s feedback promptly and accurately
- Administer all mail going in and out of the F&B Admin office
- Ensure a proper filling system is maintained for all food and beverage and financial reports
- Be responsible for the printing of the tent cards menus, new menus, buffet tags, banqueting tags printing
- Daily update of Roaster/ Vipertex
- Effect restaurant and Bar Bookings
- Any other duties or projects assigned by Resident Manager
Profile
- HSC or equivalent
- Diploma in Management or equivalent will be advantageous
- At least 1 year experience working in an administrative or secretarial function
- Previous hotel experience would be desirable
- Excellent time management, planning and organizational skills
- A proven track record in meeting targets and deadlines
- High level of attention to detail
- Excellent communication skills, both written and verbal French and English
- Confidential, with an excellent grooming and a pleasant personality
- Flexible and self-motivated
- High level of computer literacy skills (word/spreadsheet)
