Role Summary
The P2P Team Lead is responsible for overseeing the end-to-end Procure-to-Pay operations within the Global Business Services (GBS) organization, ensuring efficiency, compliance, and service excellence across multiple regions and business units. This role provides leadership to the P2P team, drives process improvements, and acts as the primary escalation point for operational and stakeholder issues.
The P2P Team Lead will manage daily operations including purchase requisition and order processing, invoice management, vendor master data, and payments execution, while ensuring adherence to internal controls, SLAs, and compliance with company policies and regulatory requirements. A key focus of the role is to foster a culture of continuous improvement, leveraging automation and standardization to deliver efficiency and enhance the stakeholder experience.
The role requires strong collaboration with Procurement, Finance, and Business stakeholders to resolve issues, improve upstream and downstream processes, and support business objectives. The P2P Team Lead will also coach and develop team members, ensuring skills growth and maintaining high levels of engagement.
Role Responsibilities
Operational Excellence
- Lead and manage the P2P operations team, ensuring accuracy, timeliness, and compliance in day-to-day processes.
- Oversee vendor master data maintenance, invoice processing, and payment execution.
- Monitor and manage team performance against Service Level Agreements (SLAs) and Key Performance Indicators (KPIs).
- Identify and implement process improvements to optimize efficiency and accuracy in P2P operations.
Reporting and Governance
- Review daily/monthly tasks performed by the team and present regular reports to stakeholders.
- Prepare and maintain the monthly KPI dashboard for both self and team.
- Conduct regular performance reviews with team members, providing guidance to improve outcomes.
- Participate in governance calls with customers, address feedback, and implement corrective actions.
Escalation and Compliance Management
- Act as the primary escalation point for vendors, business units, and internal stakeholders.
- Manage escalations, audit queries, and compliance issues, ensuring timely resolution.
- Ensure adherence to processes and policies, as per statutory, legal, and SOX/internal controls requirements.
- Support audits by providing required documentation and insights.
Customer Focus and Root Cause Analysis
- Drive reduction in customer escalations through root cause analysis and implementation of permanent corrective actions.
- Collaborate with Procurement and Finance teams to resolve discrepancies and improve end-to-end P2P processes.
Team Management and Development
- Ensure effective people management and foster the professional development of team members.
- Manage teams working in multiple shifts, aligned to regional time zones.
- Develop robust talent pipelines through: Regular training sessions, Internal role transfer readiness frameworks and Backup creation for critical roles.
- Coach, mentor, and guide the team to improve engagement and performance.
Automation and Continuous Improvement
- Drive automation, standardization, and continuous improvement initiatives to enhance P2P processes.
- Encourage a culture of innovation by adopting new tools and technologies.
Knowledge, Skills and Experience Required
Technical Requirements:
- 5-8 years of experience, with at least 3 years of managing a team.
- ACCA Level 2 /Degree in Commerce.
- Expertise in P2P processes, including vendor management, invoice processing, and payment execution.
- Proficiency in SAP is essential.
- Experience with Microsoft Office Suite, particularly Excel.
- Analytical skills for KPI management, root cause analysis, and reporting.
- Strong attention to detail and organizational skills.
- Strong leadership and people management skills.
- Excellent communication skills, both written and verbal.
- Prior experience with working with countries in Africa/Europe would be advantageous.
