Operations Executive

The Operations Executive is responsible for delivering professional port agency services that exceed the expectations of principals and shipmasters. This includes efficient planning, execution, and communication of port calls, ensuring compliance with local regulations, port rules, and Inchcape Shipping Services (ISS) procedures. The role involves coordinating with authorities, vendors, and vessel representatives to ensure smooth and speedy vessel turnaround.
Port Call Planning & Execution: Plan and execute vessel port calls efficiently and cost-effectively. Monitor progress and keep stakeholders informed.
Effective Communication: Maintain clear and timely communication with principals and stakeholders before, during, and after port calls.
Regulatory Compliance: Make accurate and timely statutory declarations to relevant government agencies.
On-Site Coordination: Attend ships or port facilities as needed to manage and supervise services and deliveries.
Expert Advice: Stay informed on local port regulations and company procedures.
HSSE Compliance: Ensure all services comply with Health, Safety, Security, Environment (HSSE) standards and local regulations.
Training: Complete all assigned training on time.
System Use: Fully utilize ISS systems (e.g., Optic LPA) and other external platforms (Port Authority, MACCS, billing software).
Crew Change Management: Coordinate crew changes, immigration, hotel bookings, visas, and transport.
Vessel Requirements: Handle boarding, husbandry needs, medicals, shore passes, and permits.
Stakeholder Relations: Maintain good working relationships with customs, immigration, vendors, port authorities, and principals.
Operational Support: Work closely with the Marine Department and operations team to ensure documentation and procedures are followed.
Reporting: Follow all reporting procedures and keep the Operations Manager updated on activities.

Essential:
At least 1 year of experience in a similar role or the ship agency industry
Knowledge of maritime operations
Basic computer proficiency (MS Office, Outlook)

Knowledge of local laws and regulations
Experience with port and immigration documentation
Education:
Minimum: O-Level
Maximum: A-Level
Preferred: Diploma in Marine Studies, Certified Computer Literacy
Other Requirements:
Essential: Valid driving license
Desirable: Non-smoker
