The Office Administration & Executive Assistant is responsible for ensuring smooth day-to-day office operations while providing high-level administrative and personal assistance to senior management.
Key Responsibilities
Office Management
- Oversee daily office operations and ensure a well-organized work environment
- Oversee and manage the Messenger/Drivers team, including planning and coordination of daily cash collections and evening drop-offs.
- Oversee repossession activities for leased vehicles.
- Manage office supplies, inventory, and vendor coordination
- Handle facility management, maintenance, and housekeeping coordination
- Implement and maintain office policies and procedures
- Coordinate internal and external meetings, schedules, and office events
Personal Assistant Duties
- Manage executive calendars, appointments, and travel arrangements
- Screen and prioritize calls, emails, and correspondence
- Prepare reports, presentations, documents, and meeting agendas
- Take meeting minutes and follow up on action items
- Handle confidential and sensitive information with discretion
- Act as a liaison between management and internal/external stakeholders
Administrative & Coordination Support
- Maintain files, records, and documentation (digital and physical)
- Assist in budgeting, expense tracking, and bill processing
- Coordinate with clients, partners, and vendors as required
- Support special projects and ad-hoc tasks assigned by management
