OTC Executive - manage orders, billing, collections, and reconciliations while ensuring compliance and excellent customer service.
Role Summary
The OTC Executive is responsible for delivering accurate and timely execution of end-to-end OTC activities within the Global Business Services (GBS) framework. This includes order management, billing, cash application, collections, account reconciliations, and dispute management. The role ensures strong controls, compliance with company policies, and adherence to statutory requirements while maintaining excellent customer service and supporting business cash flow.
The OTC Executive works closely with Sales, Finance, Legal, Customer Service, and external customers to resolve disputes, reconcile accounts, and manage outstanding receivables. The role also supports audits, reporting, and continuous improvement initiatives to drive efficiency and strengthen financial governance.
Role Responsibilities
Order & Billing Management
- Process and validate customer orders and invoices, ensuring compliance with terms, pricing, tax rules, and company policies.
- Provide invoicing support to Sales Teams, Regions, depots, and respond to audit queries.
- Investigate and resolve billing disputes in coordination with stakeholders.
- Ensure that debit notes/deductions are only accepted in line with contractual agreements.
Cash Application & Collections
- Apply incoming payments (B2B & B2C), adjustments, and reversals of incorrect postings in SAP with minimal support.
- Monitor unapplied/unidentified cash and prepare AR and unapplied cash reports.
- Record cheque bounce charges, penalties, and adjustments accurately.
- Follow up with customers on overdue invoices, balance confirmations, and pending insurance claims.
- Review ageing reports and determine appropriate payment plans or schedules.
- Dispatch letters, legal notices, and manage security deposit or credit balance refunds during customer account closure.
Reconciliations & Reporting
- Perform weekly reconciliations of outstanding amounts with minimal support and provide status updates to stakeholders.
- Ensure reconciliation of complex customer accounts, investigating and resolving discrepancies relating to non-payment or disputes.
- Prepare and circulate monthly AR reports, unapplied cash reports, and weekly actual cash/collections reports.
- Monitor and report balances owed on cash and credit accounts to management.
- Support AR subledger closure as part of month-end, quarter-end, and year-end activities.
Controls, Compliance & Audit
- Ensure compliance with company policies, accounting standards, and SOX/internal controls.
- Handle quality control checks for AR transactions, collections, and adjustments.
- Prepare supporting documentation and respond to internal/external audit queries.
- Manage dispute resolution processes in line with company procedures and legal requirements.
Continuous Improvement & Collaboration
- Identify and recommend improvements in billing, collections, and cash application processes.
- Support ERP/system enhancements, automation, and process standardization projects.
- Contribute to knowledge sharing by documenting procedures (SOPs/DTPs) and supporting training activities.
- Collaborate with Sales, Finance, Legal, Procurement, and Customer Service teams to improve the end-to-end OTC cycle.
Knowledge, Skills and Experience Required
Technical Requirements:
- 2-3 years of experience, with at least two years of management experience.
- Degree/ACCA Level 1.
- Strong knowledge of OTC processes (Billing, Collections, Cash Application, Dispute Management).
- Knowledge of AP, AR, and RTR processes to support cross-functional alignment.
- Proficiency in ERP systems (SAP/Oracle/Workday) and MS Excel.
- Experience in reconciliations, AR reporting, deductions, and unapplied cash handling.
- Familiarity with penalties, cheque charges, and insurance claim handling.
- Analytical and problem-solving skills with ability to reconcile complex accounts.
- Strong communication and negotiation skills with customers and stakeholders.
- Ability to work independently with minimal support, while managing high transaction volumes under deadlines.
- Continuous improvement mindset with exposure to automation and standardization initiatives.
