Role Summary

The OTC (Order-to-Cash) Analyst is responsible for executing and overseeing the end-to-end Order-to-Cash (OTC) cycle within the Global Business Services (GBS) framework. This includes order management, billing, credit control, collections, cash application, reconciliations, and dispute resolution. The role ensures compliance with internal policies, SOX/internal controls, and statutory requirements while maintaining strong customer relationships and supporting business cash flow.

The OTC Analyst also contributes to audits, reporting, and continuous improvement initiatives, and works closely with Sales, Finance, Legal, and Customer Service teams to resolve escalations and deliver high-quality service.

Role Responsibilities

Order Management & Billing
  • Process and validate customer sales orders and generate invoices in compliance with terms, tax regulations, and company policies.
  • Provide invoicing support to Sales Teams, Regions, depots, and respond to audit queries.
  • Investigate and resolve billing disputes in coordination with stakeholders.
  • Ensure accuracy of depot billing and insurance-related billing transactions.
Cash Application & Collections
  • Apply incoming payments (B2B & B2C) accurately to customer accounts, including adjustments and reversals of incorrect postings.
  • Monitor unapplied/unidentified cash, prepare AR and unapplied cash reports, and circulate weekly actual cash and collection reports to stakeholders.
  • Follow up on overdue invoices, balance confirmations, and pending insurance claims.
  • Review customer accounts for ageing of unpaid balances and determine appropriate payment plans or schedules.
  • Prepare and dispatch letters and legal notices in line with company policies.
  • Support closure activities including security deposit or credit balance refunds.
Reconciliations & Reporting
  • Perform weekly reconciliations of outstanding receivables, providing regular status updates to stakeholders.
  • Ensure reconciliation of complex customer accounts, investigating and resolving discrepancies relating to non-payment or disputes.
  • Prepare and deliver month-end AR reports, unapplied cash reports, and collection performance reports.
  • Support AR subledger closure as part of month-end and quarter-end duties.
  • Provide reporting and insights to Finance and Management to support cash flow forecasting and channel finance monitoring.
Controls, Compliance & Audit
  • Maintain adherence to internal controls, SOX, and company policies across OTC processes.
  • Ensure audit readiness by preparing documentation and responding to internal/external audit requests.
  • Independently manage quality control checks on AR postings, collections, and reversals.
  • Support dispute resolution and compliance with legal and insurance requirements.
Continuous Improvement & Collaboration
  • Identify inefficiencies and support automation, ERP enhancements, and process standardization initiatives.
  • Collaborate with Sales, Finance, Legal, and Customer Service to strengthen OTC processes and improve customer experience.
  • Document procedures (SOPs/DTPs) and support training and knowledge-sharing initiatives.
Knowledge, Skills and Experience Required

Technical Requirements:
  • 3-5 years of experience, with at least two years of management experience.
  • Degree/ACCA Level 2.
  • Strong knowledge of end-to-end OTC processes (Billing, Collections, Cash Application, Dispute Management).
  • Familiarity with related AP and R2R processes to support cross-functional collaboration.
  • Proficiency in ERP systems (SAP) and MS Excel.
  • Working knowledge of channel finance and insurance claim processes.
  • Analytical skills with ability to reconcile complex accounts and resolve discrepancies.
  • Effective communication and negotiation skills for customer and stakeholder engagement.
  • Strong attention to detail, problem-solving ability, and adaptability in high-volume environments.
  • Experience with audits, legal notices, and compliance frameworks.
  • Strong attention to detail and organizational skills.
  • Strong leadership and people management skills.
  • Prior experience with working with countries in Africa/Europe would be advantageous.
  • Fluent spoken and written French.
