The Logistics and Fleet Officer is responsible for the planning, coordination, and execution of all logistics and fleet-related activities to ensure the smooth, safe, and cost-effective operation of the company’s transportation and delivery systems. At least 3 years of experience in this field.
Logistics Planning & Delivery Coordination:
- Plan and schedule daily, weekly, and monthly delivery routes based on operational and customer needs.
- Coordinate dispatching of goods and vehicles, ensuring timely and efficient deliveries.
- Liaise with the warehouse and supply chain teams to align delivery activities with inventory and procurement schedules.
- Monitor live delivery progress through GPS tracking systems and resolve route or delivery issues in real time.
- Ensure all delivery documentation is accurately completed and filed.
Fleet Operations & Maintenance:
- Maintain accurate records of all vehicles, including assignments, mileage, usage logs, and service history.
- Ensure all vehicles meet roadworthiness standards and are up-to-date with insurance, licensing, and regulatory requirements (e.g., road tax, fitness certificates).
- Monitor servicing schedules and ensure timely preventive maintenance to minimize downtime.
- In the event of vehicle damage or servicing needs:
- Contact approved service providers or suppliers promptly.
- Book servicing appointments and follow up on the progress.
- Request quotations from multiple vendors when repairs or part replacements are needed.
- Evaluate and recommend suppliers based on quality, cost, and reliability.
- Ensure all repair and maintenance records are properly documented.
Driver Supervision and Coordination:
- Liaise with drivers daily to assign vehicles and communicate delivery instructions.
- Ensure that each driver is assigned a well-maintained and roadworthy vehicle.
- Monitor driver performance, behavior, and compliance with safety standards and company policies.
- Conduct or arrange regular training sessions for drivers on safety, road regulations, and vehicle care.
- Ensure all drivers possess valid licenses and any required permits or certifications.
Compliance, Safety & Reporting:
- Enforce compliance with all transportation regulations and internal safety procedures.
- Investigate vehicle incidents, traffic violations, or accidents and report findings to management.
- Utilize fleet management software and GPS tools to track fleet efficiency, fuel usage, and vehicle locations.
- Prepare and submit regular reports on delivery performance, fleet condition, fuel consumption, maintenance activities, and cost analysis.
