The Front Desk Officer serves as the first point of contact for all visitors, clients, and staff. They are responsible for delivering a positive and professional impression of the company while managing administrative and front-desk operations efficiently.
Key Responsibilities
1. Reception Duties
- Greet and welcome guests in a warm and professional manner.
- Direct visitors to the appropriate person and office.
- Answer, screen, and forward incoming phone calls promptly and courteously.
- Maintain security and telecommunication systems.
2. Administrative Support
- Manage the reception area, ensuring it is clean, tidy, and well-presented at all times.
- Receive, sort, and distribute daily mail, letters and deliveries.
- Schedule and manage meeting room bookings.
- Maintain office supply inventory and order items as needed.
3. Record Keeping and Communication
- Maintain visitor logs and issue visitor badges.
- Handle inquiries via email, phone, or walk-in with professionalism.
- Assist with clerical tasks such as photocopying, scanning, filing, and data entry.
4. Coordination and Assistance
- Coordinate with internal departments and assist HR/Admin when needed.
- Assist in the preparation of reports, letters, and presentations.
- Support event planning and office activities coordination when required.
Job Requirements
- Minimum of a High School Diploma; additional qualifications in Office Management or Business Administration are a plus.
- Proven experience as a receptionist, front office representative, or similar role (1–3 years preferred).
- Excellent verbal and written communication skills.
- Proficiency in Microsoft Office (Word, Excel, Outlook).
- Ability to multitask and manage time effectively.
- High level of professionalism and strong interpersonal skills.
- Basic understanding of administrative and clerical procedures.
