About the role:

The Facilities Officer is responsible for leading and coordinating the day-to-day operations of the office, ensuring smooth, safe and efficient workplace functioning. The role serves as the SPOC (Single Point of Contact) for all facilities-related matters raised by employees and coordinates resolution with the landlord, vendors, contractors and internal teams. The Facilities Officer also supervised the office & Facilities Assistant and ensure high-quality service delivery

Which tasks can you expect?

1. Daily Facilities Operations

  • Ensure the office environment is safe, clean and fully functional

  • Act as the main liaison with the landlord/building management for all building-related issues (AC, electrical, plumbing, fire systems, structural repairs)

  • Resolved in a timely manner facilities issues raised by employees in ticketing tool.

  • Ensure timely follow-up and resolution, with clear communication to stakeholders.

  • Access control badge creation & management

  • Security & Access Control Management (CCTV, Access Control, UPS etc..) ensuring all security-related systems are functioning correctly.

2. SPOC Responsibilities

  • Serve as the Single Point of Contact for all staff facilities requests, concerns, and incidents.

  • Act as the primary point of contact for scheduling, supervising onsite work, monitoring performance, and escalating issues when needed.

  • Provide updates, expected timelines, and escalate unresolved matters appropriately.

  • Ensure employees receive quick assistance for:

    • Workspace requests

    • Meeting room issues

    • Access cards, parking, lockers

    • Comfort issues (temperature complaints, lighting, noise, etc.)

    • Office supplies

  • The ‘’Facilities bible” data stored centrally on SharePoint are accurate

  • Maintain Emergency app contacts and files such as evacuation plans

  • Security concept per office review annually

  • Track Utilities data provided by the landlord

  • Provide monthly reports to Facilities Manager and HR (Access control system)

  • Supporting office projects in country (small renovation, or reconfiguration, revamping projects)

  • Recommend improvements to workplace efficiency and employee experience

  • Working with the local MT for large events in the offices, ExCom visits etc..

  • Join Daily team huddle as often as possible.

  • Works with sensitive information with discretion to maintain confidentiality and security and ensure compliance with privacy policies and regulations

3. Coordination with Contractors and Suppliers

  • Coordinate all work performed by contractors, service providers, and suppliers, including activities scheduled after hours or on weekends when required:

  1. Repairs and maintenance

  2. Cleaning services

  3. Pest control

  4. Security guards

  5. Office equipment vendors

  6. IT and infrastructure contractors (where applicable)

  • Ensure all contractors follow building entry protocols and safety guidelines.

  • Plan and supervise scheduled work, ensuring minimal disruption to employees.

  • Validate quality of work delivered and escalate any performance issues.

  • Manage quotations, purchase requests, supplier follow-ups, and invoice validation. Workplace Support and Health & Safety & Compliance

  • Coordinate desk moves and workspace optimisation

  • Ensure meeting rooms and shared spaces are properly maintained.

  • Support fire drills, evacuation plans and Safety procedures

  • Co-ordinate health & safety requirements, in conjunction with the Health & Safety service provider or Officer.

4. Team Leadership

  • Supervise the Office & Facilities Assistant

  • Assign daily tasks and follow-up to ensure timely completion.

  • Provide guidance and support


    What do you have to offer?

  • Diploma or Degree in Facilities Management or similar

  • 3-5 years’ experience in facilities operations within a corporate environment.

  • Experience working with landlords/building management

  • Experience handling employee requests as a SPOC is an advantage

  • Organisation skills to set priorities

  • Problem-solving and multitasking skills

  • Proactive, reliable and organised

  • Excellent communication and multitasking skills

  • Written communication skills – English

  • Oral communication skills – English and French.

  • Proficiency in Microsoft products (Word, Excel and PowerPoint).
