Key Responsibilities:
• Manage and process invoices, ensuring timely and accurate payment.
• Arrange travel itineraries, including flights, accommodations, and transportation.
• Follow up on the Director's assigned tasks and projects.
• Schedule and coordinate meetings and appointments.
• Maintain and organize files and records, both electronic and paper-based.
• Prepare reports, presentations, and correspondence as needed.
• Handle incoming calls and emails, responding or redirecting as appropriate.
• Perform general office duties such as ordering supplies and managing office equipment.
• Assist with special projects as required.
Performance Objectives and Indicators:
• Ensure 100% accuracy in invoice processing.
• Complete travel arrangements within specified timelines.
• Maintain an organized filing system with easy accessibility.
• Achieve a high level of responsiveness to the Director's requests.
QUALIFICATIONS, SKILLS, AND EXPERIENCE
Required Profile:
• Diploma, Certificate or a related work experience (preferred).
• Minimum 2 years of experience in an administrative role.
• Excellent organizational and multitasking abilities.
• Strong communication and interpersonal skills.
• Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
• Attention to detail and problem-solving skills.
• Ability to work independently and as part of a team.
