The CSA is responsible for managing the reception area, attending to visitors, handling correspondences, and providing general administrative support. The role also includes liaising with the Confidential Secretary on non-confidential correspondences and maintaining proper filing and records.
- Operate the PABX and screen incoming calls;
- Make both local and overseas calls;
- Keep records of calls made;
- Receive and record incoming mails;
- Welcome and assist visitors/clients;
- Filing and records keeping as and when required;
- Record and inform Managers/Project Managers or Supervisors about calls from employees regarding absences;
- Assist in the organisation of events;
- Arrange taxi service for staff and official guests/visitors;
- Assist the Confidential Secretary in treating non-confidential correspondences;
- Ensure proper filing (both physical and digital) of incoming and outgoing correspondences;
- Classify and prioritise correspondences as needed for timely action;
- Any other related activities as delegated by the supervisor;
Qualifications & Experience
- Minimum HSC / A level with 2 main subjects and General Paper successfully completed.
- Minimum 2 years’ experience at a reception desk providing customer services, and/or administrative duties.
Skills & Competencies
- Excellent communication in English and French (written and spoken);
- IT literate with knowledge of office tools Word, Excel and PowerPoint.
- Knowledge of any Customer Relationship Management application will be a definite advantage
