Our client, in the real estate sector, is looking for a Construction Administrative Assistant.
Our client, in the real estate sector, is looking for a Construction Administrative Assistant.
The successful candidate will be responsible for:
Main responsibilities:
Complaint Handling
- Receive telephone calls and emails;
- Logs complaints received on Management System and relevant schedules;
- Track emails and replies;
- Arrange access to apartments;
- Transmits complaint to relevant department;
- Receives feedback from technical team and transmits status to owner / complaint emitter.
Liaison with suppliers
- Liaises with and chases suppliers for required quotes and estimates;
- Collates technical information from suppliers with quotes and estimates for transmission to Technical HODs;
- Prepare P.O from approved quotes, seek approval and send to supplier and tracks delivery;
- Receive invoices from contractors and engage with the finance dept.
Administrative
- Tracks and collates completed intervention sheets and maintains summary schedules for approval and invoicing;
- Compiles and input data on utilities schedules and management system;
- Tracks and compiles completed checklist for archiving;
- Files all documents on the system.
General
- Acts as backup for other administrative assistants when required.
- Any other cognate duties.
Qualification:
- Minimum HSC and/ Diploma in Administration.
- At least 2 years of experience in administrative role and in the construction sector will be an advantage.
Candidate profile:
- Knowledge of MS Office
- Organised and autonomous
