Provide efficient and professional business services support in the areas of Procurement, Human Resources, Administrative Services and Corporate Affairs and Communications to the group and its holdings.

 

Main Areas of Responsibility:

Procurement:  support the procurement administrative needs and act as back up to the Procurement Manager

HR: support the HR function, including recruitment, employee relations including issuing new contracts, process contract renewals and confirmations and other HR related tasks as per policy, standard templates and procedures.

Administration:

  • Act as PA to CEO:
    • manages the CEO’s calendar by planning and scheduling meetings, sending meeting invites and coordinating with attendees, organising pre-briefs where required and preparation of the agenda and minutes of meeting;
    • ensures the CEO's schedule is followed and respected, keeping him well informed of upcoming commitments and responsibilities, following up appropriately, and sending reminders in a timely manner and resolves any diary clashes;
    • analyses enquiries and requests from internal and external stakeholders, determine and take appropriate action on behalf of the CEO, including the redirection of enquiries to appropriate personnel as well as managing the flow of incoming/outgoing correspondence;
    • organizes the CEO’s travel schedule; including handling visa applications and bookings (flights, accommodation, airport transfers etc) and compiling reports and other related documents for travel-related meetings;
    • researches, prioritizes, and follows up on all tasks and activities that facilitate the CEO’S ability to effectively lead the company, including drafting official letters, personal correspondence, preparing reports and other documents, managing the CEO’s accommodation wherever he is.
  • Supports the Senior Leadership Team (SLT) with travel arrangements, including itinerates, visa applications, hotel bookings, airport transfers and related travel logistics in an efficient and cost-effective manner with adherence to the company travel policy.
  • Organizes and oversees all administrative activities to facilitate the smooth running of the office; including maintaining office supplies inventory, ensuring office equipment is well maintained, relevant records are up to date and that all administration processes work effectively as well as maintaining the condition of the office and arranging for necessary repairs.  Will also be responsible for managing the office-operating budget, security, fleet and guest services.
  • Support Corporate Affairs and Communications as instructed
  • Perform any other duties as assigned by the supervisor

Computer Skills:
Proficient in Microsoft Office (Outlook, Word, Excel, and Power Point), Adobe Acrobat, and Social Media web platforms
