Our client in the distribution sector is seeking to recruit an Assistant Administrative Secretary who will report to the Chief Executive Officer.
Responsibilities:
- Providing a support to the secretaries in the daily logistics & administrative tasks of the department.
- Processing of online orders, verifying stock availability before issuance of invoice and checking for payments.
- Updating the stock of products on the corporate website.
- Creation and modifications of items for coffee shops on the system.
- Processing of event sheets.
- Liaising with coffee shops.
- Preparing statistics and reports for foreign orders.
- Drawing and sending purchase orders for foreign products.
- Querying for forwarders' best quotes.
- Follow-up of foreign orders until arrival.
- Providing updates of weekly recap.
- Preparing weekly planning for store production.
- Processing of local purchase order.
- Processing Warehouse transfers.
- Preparing and providing updates of monthly wastage reports of Illico Coffee Shops.
- Helping and replacing the secretaries in their daily tasks as and when needed.
- Any other duties as and when required.
Profile:
- Holder of an HSC Certificate.
- At least a diploma in related field/secretarial studies.
- Accounting knowledge.
- Good logic, analytical and strong communication skills.
- Conversant with Microsoft office tools and Ms. Excel.
- Confident, self-motivated and bottom line driven.
- Holder of a valid certificate of character.
- Residing preferably within the Plaines Wilhems region.
- Available to start as soon as possible.
