The post has two poles - firstly - general administration duties working in a paperless office ( including scanning support for backlog) and secondly - support research and calls for data gathering and appointment fixing for one specific real estate property sale.

 

 

We are seeking an organises and proactive administrative secretary to support our paperless office operations initiative. the work is partly remote and partly in office in Port Louis ( 3 days per week). the assignment is for a fixed 3 months contract. This role includes general administration, support to CEO and support to sales team for sale of one specific commercial property. 

 

Key responsibilities: 

Administrative support: 

  • perform general administrative duties including managing emails, scheduling appointments and coordinating meetings. 
  • Maintain digital records and manage electronic filing systems 
  • prepare, scan and conclusively deal with archives and backlogs
  • handle routine communications and communications
Personal Assistance to CEO: 
  • Fix appointments and manage Mauritius related matters in absence of CEO
  • Coordinate travel arrangements and prepare detailed itineraries
  • assist with personal tasks and errands required by CEO
Office Management
  • Implement and maintain a paperless office system, eusuring all documents are digitised and properly stored
  • Ensure smooth operation of remote office procedures and assist in troubleshooting any issues
  • coordinate virtual meetings and confernces, ensuring all technological aspects are set up and functioning. 
  • handle confidential information with discretion and professionalism
Project assistance
  • Assist with special projects and initiatives as directed by CEO - there are specifically 2: 
    • scanning support to digitalise office
    • The specific task of a commercial property sale (support to sales team and pitch preparations) which includes the conduct of research and compilation of data to support decision making and pitch purposes
    • managing project timelines ensuring deadlines are met.
