To provide administrative support to the Team Leader of the Administration & Marketing Department. The role involves assisting in daily administrative duties, attending management meetings, and coordinating actions as directed.
Key Duties and Responsibilities:
- Assist the Team Leader in daily administrative tasks and departmental coordination.
- Prepare and organise documents, reports, and correspondence as required.
- Maintain filing systems and records in an orderly manner.
- Monitor and follow up on pending tasks and assignments within the department.
- Ensure deadlines are met by reminding relevant staff and reporting progress to the Team Leader.
- Coordinate with other departments and staff for smooth workflow.
- Attend management meetings as required.
- Take clear notes and prepare minutes for circulation.
- Follow up on action points from meetings and update accordingly.
- Serve as a point of contact for internal and external stakeholders on administrative matters.
- Draft routine emails, letters, and communications on behalf of the Team Leader.
- Support office operations including supply management and day-to-day logistics.
- Assist in organising events, workshops, or departmental activities as needed.
- Provide support to the receptionist as and when required, including handling calls, visitors, and front-office duties.
- Offer assistance to ad-hoc IT matters.
- Perform any other reasonable duties as assigned by the Team Leader.
