We are seeking a highly organized and proactive Administrative Executive to provide high-level administrative and operational support to members of the C Team.

 

Job Summary:

The role requires excellent judgement and discretion when handling sensitive information, strong planning and time-management skills, and the ability to anticipate needs in a fast-paced environment.

You will help ensure the smooth day-to-day functioning of the office and enable effective decision-making by coordinating, organising and presenting business information, maintaining accurate data sets, and preparing high-quality presentation and communication materials.

Key Responsibilities:

  • Proactively manage complex calendars for multiple stakeholders, including prioritising requests, resolving scheduling conflicts, and ensuring alignment with business priorities
  • Coordinate end-to-end meeting logistics (in-person/virtual), including agendas, room bookings, dial-in links, attendee confirmations, and distribution of pre-reads
  • Arrange travel (flights, accommodation, ground transport), prepare detailed itineraries, and ensure travel documentation and preferences are up to date
  • Process and track expenses, purchase orders and invoices (where applicable), ensuring timely submissions and compliance with internal policies
  • Capture meeting minutes, decisions and action items when required; follow up with owners and maintain action trackers to support on-time delivery
  • Draft, format and proofread routine correspondence, reports and internal communications; maintain organised filing (digital and hard copy) for easy retrieval
  • Act as a key point of contact for internal and external stakeholders, handling calls/emails professionally, prioritising requests, and escalating urgent matters appropriately
  • Support smooth office operations by coordinating with vendors and service providers, managing office supplies, and assisting with ad hoc administrative tasks and team support
  • Compile, input and maintain data in Excel spreadsheets, ensuring accuracy, consistent formatting, version control and timely updates from source documents and stakeholders
  • Prepare and format PowerPoint presentations, dashboards and company memos based on executive input and collected data, ensuring clarity, confidentiality, and adherence to company templates and branding
  • Support internal reporting by consolidating inputs, performing basic checks and analysis (e.g., reconciliations, trends and variance notes), and preparing weekly/monthly reporting packs for C-level review

Key Skills and Qualifications:

  • Minimum of 3-5 years of experience in a Administrative Assistan/Executivet role, ideally supporting senior-level / C-Suite executives.
  • Proven ability to manage multiple calendars and tasks effectively in a fast-paced environment.
  • Strong verbal and written communication skills, able to articulate clearly with both internal and external Stakeholders.
  • Ability to manage time effectively, anticipate needs, and maintain a high level of efficiency.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), and other office management tools.
  • Demonstrated ability to handle confidential information with professionalism and discretion.
  • Strong attention to detail in every aspect of work, from scheduling to document preparation.
  • Ability to think critically and handle unforeseen challenges with resourcefulness.

Education:
