Sales Administrator responsible for quotations, order processing, and coordination across finance, procurement, and logistics. Requires strong attention to detail, system accuracy, and proactive follow-up to ensure smooth order execution.
We are seeking a highly organised and detail-oriented Sales Administrator to support our commercial and business development operations. This role is critical in ensuring accurate order processing, effective coordination across departments, and seamless delivery of client orders.
You will act as the operational backbone of the sales process, ensuring that all commercial inputs are correctly executed and followed through to completion.
Key Responsibilities
Order & Quotation Management
- Prepare and manage quotations based on Sales team instructions
- Process sales orders accurately and in a timely manner
- Ensure all commercial details are correctly captured in the system
System & Data Management (Sage)
- Create and maintain product codes
- Manage Sales Orders and Purchase Requests within Sage
- Ensure data accuracy and compliance with internal processes
Financial Coordination
- Liaise with Finance for invoicing and payment requirements
- Follow up on client payments in line with credit control guidelines
- Ensure financial clearance before order fulfilment
Procurement & Supplier Follow-Up
- Coordinate with Procurement on order placement and tracking
- Follow up with suppliers on confirmations and delivery timelines
- Proactively flag risks, delays, or issues
Costing & Approval Support
- Review costing sheets and validate alignment with orders
- Support approval processes for order progression and delivery
Logistics & Internal Coordination
- Coordinate with Warehouse for order preparation and dispatch
- Support logistics planning and documentation when required
Operational Continuity
- Act as a central coordination point between Sales, Finance, Procurement, and Warehouse
- Ensure continuity of operations when Sales team members are unavailable

Desired Profile
- Diploma in Business Administration, Management, Finance (High School leaver with experience will also be considered)
- 2–4 years’ experience in a similar sales administration, operations, or order management role
- Experience working in a structured, process-driven environment
- Comfortable working with cross-functional teams (Sales, Finance, Procurement, Logistics)
- Strong sense of ownership and accountability for tasks
- Able to work under pressure and manage competing priorities
- Detail-oriented with a low tolerance for errors
- Hands-on, proactive, and not reliant on constant supervision.
